Part Time Administrator Role: 15 - 18 hours per week.

About the role

The Royal Victorian Aero Club (RVAC), Australia's oldest and most respected flying club, is seeking a highly organised part time RTO Administrator to join our agile team. Reporting to our RTO Compliance and Administration Manager, this role involves managing student enrolment, onboarding, enquiries, billing and support within our Registered Training Organisation (RTO). You will process applications, monitor student progression, maintain accurate records in the student management systems, audit compliance documentation, issue qualifications, and manage course fees and payments.

Key responsibilities
Process applications, check entry prerequisites and evidence, and create student accounts
Serve as the first point of contact for current and prospective students regarding course details, schedules, and fee queries
Monitor student attendance and course progression, and administer course deferrals where required
Input and update accurate data into student management software (Wisenet), eCAF and PRISMS




Regularly check physical and digital student files to verify all required assessment evidence, RPL and credit transfer forms are compliant prior to audit
Generate and issue compliant Certificates, Statements of Attainment, and academic transcripts in line with AQF and regulatory requirements
Schedule sessions with appropriate personnel and reserve rooms or resources
Process course fee payments including Fee and CAN notices, invoicing and ensure student funds are received from VSL

About you
Basic understanding of the 2025 Standards for RTOs and national VET reporting frameworks
High attention to detail, crucial for spotting missing student signatures, incorrect dates, prerequisite documentation, or incomplete assessment tasks before certification
Proficiency with Databases and MS Office
Explicit, professional verbal and written communication for liaising with students, parents, instructors and colleagues
Knowledge of VET Student Loans and CRICOS (desirable)
Experience working in an RTO setting in a student administration or compliance officer role (desirable)
