We're looking for an experienced administration professional to join our Client Care Team at South West Kids Clinic.
This isn't just a reception role. Our Client Care Team plays an significant part in keeping our clinics running smoothly, supporting our therapists and making sure families feel welcomed, informed and looked after from their very first interaction with us.
About South West Kids Clinic
South West Kids Clinic is a busy paediatric allied health practice supporting children and families across South West Sydney and beyond. Our multidisciplinary team includes Occupational Therapists, Speech Pathologists, Physiotherapists and Dietitians who work together to help children achieve meaningful goals.
Behind our clinical team is a strong Client Care Team who make sure everything runs smoothly.
What your day will look like
No two days are exactly the same. You'll be part of a busy administration team managing the day-to-day needs of our families, therapists and clinic.
Welcoming children and families to the clinic
Managing incoming phone, email and in-person enquiries
Scheduling appointments and managing therapist calendars
Supporting new families through our intake and onboarding process
Processing payments, Medicare and other relevant claims
Following up outstanding accounts and payments professionally
Communicating appointment, fee and clinic information clearly with families
Maintaining accurate client and administrative records
Supporting therapists and the broader team with day-to-day administrative needs
Helping maintain an organised, welcoming and well-presented clinic
Working closely with other Client Care Team members to keep systems and processes running smoothly
Identifying what needs to be done and taking initiative to get it done
Who we're looking for
We're looking for someone who is warm and approachable with families, but also highly organised and confident in a fast-moving environment.
You'll be someone who:
Has previous experience in administration, reception or a similar client-facing role
Provides exceptional customer service
Communicates confidently and professionally by phone, email and face-to-face
Is organised and able to manage competing priorities
Has excellent attention to detail
Takes initiative rather than waiting to be told what needs to be done
Is comfortable learning and following systems and processes
Works well as part of a team and is willing to step in and help when things get busy
Handles confidential information with professionalism and discretion
Is confident using technology and learning new systems
Experience within allied health, healthcare, disability or the NDIS would be highly regarded, but isn't essential. We are more interested in finding someone with the right attitude, capability and approach.

The details
This is a permanent full-time position based at our Prestons clinic. This role will require you to start at 8am and finish at 4pm Monday to Friday. No weekend work is required.
