An exciting opportunity has become available for a polished and highly organised Executive Support Coordinator to join a leading high-end property and real estate investment firm based in Cremorne.
n
Working within a sophisticated, design-led and fast-paced environment, this role will provide high-level administrative support to the Executive Assistant and Founder & Managing Director. You'll play an important part in ensuring the executive office runs seamlessly, supporting everything from complex diaries and travel through to meetings, events, correspondence and project-based administration.

The role
n
Working closely with the Executive Assistant, your responsibilities will include:
n
n
Providing day-to-day executive and administrative support
n
Managing calendars, appointments and meeting schedules
n
Coordinating domestic travel, accommodation and detailed itineraries
n
Preparing professional correspondence, presentations and reports
n
Coordinating meetings, including rooms, catering and supporting documentation
n
Taking meeting notes and following up actions
n
Managing incoming correspondence and general executive office administration
n
Processing purchase orders and approvals
n
Maintaining filing systems, contact lists and confidential records
n
Coordinating executive lunches, small events and internal functions
n
Supporting projects and ad hoc requests across the executive office
n
Assisting with personal administration for the Founder & Managing Director when required
n
Providing broader administrative support to the business as needed
n
n
About you
n
You will be an experienced and polished administration professional who genuinely enjoys supporting senior executives and being the person who keeps everything running smoothly.
n
You will ideally bring:
n
n
5+ years' experience within administration, executive support or a similar role
n
Exceptional organisation and attention to detail
n
A proactive approach and willingness to jump in wherever required
n
Strong written and verbal communication skills
n
Confidence working with senior executives and stakeholders
n
A high level of professionalism, discretion and confidentiality
n
Strong Microsoft Office and Microsoft 365 skills
n
A polished, warm and approachable communication style
n
The ability to juggle multiple priorities in a fast-moving environment
n
n
Previous experience within property, real estate, construction, investment or a founder-led business would be highly regarded.
