You're the link between the gear room and the set. You keep the equipment room running, quote and pack jobs accurately, keep clients across their gear, and make sure nothing that goes out the door comes back missing, broken, or late. This isn't a background role — clients notice when gear shows up wrong, and they notice when it doesn't. We're hiring someone who'd rather double-check a case than explain a mistake on shoot day.
Key Responsibilities
1. Equipment Room
Keep the room tidy — everything stored safely, neatly, and in its place
Unpack, check, and test all gear on return; catch superficial and internal/mechanical faults before they become someone else's problem
Confirm every item from a job has come back
Monitor paper roll stock and flag restocks
Track gear we're constantly asked for or constantly outsourcing, and flag it for purchase
2. Quoting & Client Consultation
Build estimates from client gear lists
Fill the gaps clients don't think to ask for — order the lights, check if they need a trigger, even when they didn't request one
Recommend gear based on what the job actually needs
Help clients build full gear lists from references or rough ideas, and work to their budget
3. Packing & Dispatch
Pack every job so the full list is there and packed safely for transport
Confirm the client has everything they need before it leaves the building
4. Email & Communication
Monitor and action the inbox daily: client gear lists, Studio job collaboration, accounting queries,

Follow up recent customer accounts
Follow up outstanding payments
Check in with Studio jobs on their equipment needs
6. Outsourcing & Repairs
Source equipment externally when we don't have it in-house
Liaise with suppliers on gear out for repair
7. Delivery & Setup
Drive to deliver and collect gear on location, on schedule
Set up equipment on-site where required
8. Daily Dashboard
Run the dashboard every day and action:

What needs packing today
10am returns that haven't come back
Late jobs
Any job returned with equipment missing
All jobs invoiced
All jobs finalised in the system
What You Bring
Essential
Valid driver's licence and confidence driving a loaded van
Sharp attention to detail — you spot what's missing or damaged before it's a problem
Working knowledge of photo and video production gear: cameras, lighting, grip, audio
Confidence building gear lists and estimates, and picking up what a client hasn't asked for but will need
Clear, prompt written communication — client emails, internal handovers, supplier chase-ups
Comfortable working across a booking/inventory system and staying on top of a daily dashboard
Physical capability to lift and move equipment cases
Comfortable working independently, switching between tasks, and managing a shifting job list under time pressure
