Job Description
Patient Care Coordinator & Executive Assistant (Podiatry)

Permanent Part-Time 3 days per week (with opportunity to increase hours) $35 per hour

About Us

We are a specialist podiatry practice focused on helping people with complex foot and lower limb conditions. Our patients often require advanced treatment including custom foot orthotics, custom footwear, AFOs, SMOs and medical-grade footwear.
n
Many of our patients are funded through the NDIS, DVA, WorkCover, insurance and other third-party funding bodies. We pride ourselves on delivering exceptional patient care and high-quality clinical outcomes.

As our practice continues to grow, we are looking for an organised, proactive and dependable Patient Care Coordinator & Executive Assistant to become an integral part of the business.
n
About the Role
n
This is much more than a reception role.
n
You'll become the right-hand person to the principal podiatrist, helping ensure the practice runs smoothly while allowing the clinician to focus on patient care.
n
You'll coordinate patient administration, manage reports and billing, follow up suppliers and orders, organise travel, keep projects moving, and make sure key tasks don't fall through the cracks.
n
Initially this position is 3 days per week, with the expectation that hours will increase as the practice continues to grow.
n
Key Responsibilities
n
n
Deliver a professional and welcoming experience for every patient
n
Manage appointment bookings and clinician schedules
n
Coordinate NDIS and third-party funded patient administration
n
Prepare, track and follow up clinical reports
n
Manage invoicing and billing
n
Follow up outstanding payments and funding approvals
n
Coordinate the ordering and tracking of:n
n
AFOs and SMOs
n
n
Liaise with suppliers, laboratories and manufacturers
n
Track outstanding orders through to delivery
n
Book flights, accommodation and travel for interstate clinics in Brisbane, Sydney and Canberra
n
Manage calendars, reminders and key deadlines
n
Follow up outstanding tasks and ensure important items are completed
n
Support the ongoing improvement of practice systems and workflows
n
General administration and executive support
n
n
About You
n
You are someone who genuinely enjoys organising people and making busy professionals more efficient.
n
You are proactive rather than reactive and don't wait to be told every next step. You love creating systems, staying organised and following things through until they are completed.
n
Ideally you'll have:
n
n
Experience in medical administration, executive assistance or practice coordination
n
Outstanding organisational and time management skills
n
Excellent written and verbal communication
n
High attention to detail
n
Confidence using multiple software platforms
n
The ability to manage competing priorities in a fast-paced environment
n
A professional, caring and patient-focused approach
n
Initiative, resourcefulness and strong problem-solving skills
n
n
Experience in allied health, medical practices or working with NDIS and third-party funding is highly regarded but not essential.
n
