Head of Orthopaedic Surgery

About the role
As Personal Assistant to the Head of Orthopaedic Surgery, you will play an important role in keeping a busy specialist department organised and running smoothly. Working closely with senior medical staff, clinicians and colleagues across the department, you will coordinate day-to-day administration, manage competing priorities and use your initiative to solve problems and keep things moving.
The Orthopaedic Surgery Department at The Royal Melbourne Hospital is a key part of one of Victoria's leading Level 1 Trauma Centres, with a team of over 40 medical and allied health staff providing care to the Victorian community.. This is a varied role with the opportunity to work across a busy clinical environment and make a real difference to how the department operates.
Key Accountabilities
- Coordinate the day-to-day operations and administration of the Orthopaedic Surgery Department.
- Coordinate medical rosters, on-call arrangements, leave and workforce calendars.
- Manage timesheets, overtime, recall and on-call payment processes.
- Schedule and coordinate clinical and administrative meetings, including organising catering.
- Coordinate onboarding and workforce administration for new and existing staff.
- Maintain payroll (RosterOn) and support HR (SuccessFactors) systems and processes.
- Provide responsive administrative support across a busy, specialist clinical department.
About You
You're an organised and solution focused administrator who enjoys variety, solving problems and keeping things moving as well as:
- Experience supporting a busy team, ideally in a healthcare environment.
- Confidence managing competing priorities, deadlines and changing requests.
- Strong communication skills and a professional, approachable manner.
- Excellent attention to detail and the initiative to work things out.
- Confidence with systems, calendars, virtual meetings and Microsoft Office.
- A collaborative approach and the ability to build positive relationships across a multidisciplinary team.
