The Opportunity
Focus on Safety Pty Ltd is seeking an organised, reliable and motivatedRTO Administration Officer to join our administration team at our Singleton training facility.
This is a hands-on administration role supporting the day-to-day operations of our Registered Training Organisation. The successful candidate will work across a variety of administrative functions including student and course administration, training coordination, record management, customer service, invoicing and general RTO compliance support.
We are offering the position as either full-time or part-time , depending on the successful candidate's preferred working arrangement: Applicants are welcome to indicate their preferred employment option when applying.
- Full-time: Monday to Friday,
7:30am - 3:30pm
- Part-time: Monday to Friday, 8:00am - 2:00pm
Position Overview
Reporting directly to the Administration Manager, the RTO Administration Officer will work as part of the administration team to ensure training and student administration is completed accurately, efficiently and within required timeframes.
The position involves coordinating course and student administration, maintaining accurate records and documentation, supporting trainers and compliance activities, and providing professional service to students, clients and other stakeholders.
We are looking for someone who is organised, takes pride in the accuracy of their work and is comfortable taking ownership of their responsibilities. The successful candidate will need to work effectively both independently and as part of a team, manage competing priorities, follow established processes and direction, and communicate clearly when assistance or clarification is required.
Key Performance Tasks & Expectations
- Manage and process course enquiries, bookings, enrolments and general student administration, responding professionally and promptly to students, employers, clients and other stakeholders via phone, email and in person.
- Prepare, check and finalise training documentation, attendance records and certification, and maintain complete, accurate and audit-ready student records within the Student Management System (SMS).
- Coordinate course schedules, trainer requirements and training resources, providing administrative support to trainers before, during and following training delivery.
- Prepare quotations, booking confirmations and invoices, and assist with accounts receivable, accounts payable and payment follow‑up.
- Maintain organised electronic and hard-copy records in accordance with privacy and record‑keeping requirements, ensuring all administrative activities and documentation comply with organisational policies, procedures and RTO regulatory requirements.
- Take ownership of allocated tasks and follow them through to completion, working autonomously on routine responsibilities, managing competing priorities and deadlines, maintaining accuracy and attention to detail, and following established processes, instructions and management direction.
Skills & Experience
Essential
- Proven experience in an administrative or office-based role with a professional and customer-focused approach.
- Strong organisational and time-management skills, with the ability to manage multiple tasks, competing priorities and deadlines.
- High level of accuracy and attention to detail when completing administrative tasks, processing information and maintaining records.
- Strong written and verbal communication skills, with the ability to work effectively both independently and as part of a team.
- Ability to take direction, follow established procedures and use sound judgement when managing routine administrative responsibilities.
- Competency in Microsoft Office applications and experience using accounting or invoicing software, with the ability to quickly learn new software, systems and administrative processes.
Desirable
- Previous experience within a Registered Training Organisation or training workplace.
- Experience using a Student Management System, particularly aXcelerate.
- Understanding of vocational education and training administration.
- General understanding of RTO compliance and record‑keeping requirements.
