About the role

We are looking for an experienced, organised and friendly person with the ability to work autonomously and within a fast-paced team environment to undertake the Business Services Officer - Statutory Planning role on a permanent full-time basis.

The role plays a crucial part in supporting the Statutory Planning Business Unit to align with the organisational objectives outlined with the City of Swan Strategic Community Plan. By delivering efficient, timely and precise planning and business support services, the position ensures adherence to established business processes and regulatory obligations within the Planning Legislative Framework. This commitment to compliance fosters valuable governance and contributes to the creation of high-quality built environment.

Key accountabilities include, but are not limited to;

- Meeting Coordination and Document Management: Lead coordination, organisation, compilation and distribution of agenda and minutes for the Design Review Panel advisory meetings, including other meetings ensuring timely compilation and distribution.
- Application Management: Coordinate the registration, lodgement, maintenance of Development Assessment Panel and Significant Development Pathway applications, including scheme amendments, structure plans ensuring compliance with relevant procedures.
- Information Facilitation: Manage public notice boards, relevant internet and intranet pages for Design Review Panel, Development Assessment Panel and Significant Development Pathway applications including scheme amendments, structure plans and to provide stakeholders with necessary information in accordance statutory requirements and business unit procedures.
- Legal Document Handling: Coordinate planning legal documents including registration, lodgement of the request/s and execution, such as withdrawal of caveat, encumbrances and easements and execution of Scheme Amendments.
- Administrative Support: Provide direct administrative support for Council reports, including vetting, communication of meeting details and the reporting of determinations, as well as assistance with the management of purchase orders and Council’s purchasing system.
- Planning Application Assistance: Support the processing, registration, lodgement,



and maintenance of structure plans, scheme amendments, planning applications, referrals, notices, and determinations, including online content management for public consultation and reconciliation of statutory planning payments.
- Process and Continuous Improvement: Drive and implement process improvement initiatives to enhance communication, productivity, and accessibility of information, while leveraging technology and best practices to streamline administrative tasks, compliance procedures, and application processes.

About you

The successful candidate will have the following:

- Certificate IV or above in Local Government (Planning and Building) or Business Administration or related field, or extensive knowledge and skills gained equivalent to the Level.
- Working knowledge of the planning legislative requirements, including relevant acts and regulations relating to local government planning.
- Demonstrated experience in coordinating advisory group meetings, agendas and minutes preparation
- A satisfactory National Police Certificate is required.

The salary for this position will be from $74,894.84 - $90,082.35 per annum, depending on the skills and experience of the successful applicant.
