Coordinate end-to-end spare parts and service logistics across UIH's Australia & New Zealand (ANZ) operations. Working closely with warehouses, 3PL partners, field service engineers, HQ, finance and logistics providers, you will ensure efficient inventory management, compliant transportation, cost control and continuous improvement of the regional spare parts network.
Main Responsibilities
Warehouse Operations & Inventory Management
- Coordinate inbound, put-away, picking, outbound and stock-transfer activities across ANZ spare parts warehouses.
- Operate GWMS and handheld barcode devices; support system implementation, user testing and training.
- Maintain accurate inventory records across GWMS, SAP, SCM and 3PL systems through regular reconciliation.
- Coordinate cycle counts, inventory audits and discrepancy investigations across multiple warehouse locations.
- Manage the complete lifecycle of spare parts, including inventory allocation, returns, quarantine, scrapping, recalls and firmware upgrade campaigns.
Spare Parts Fulfilment & Service Operations
- Operate the SCM work-order system to process spare-parts requests, approvals and completion.
- Coordinate with field service engineers and internal teams to ensure timely parts availability for customer service activities.
- Track spare parts throughout the supply chain, ensuring full barcode and serial number traceability from warehouse to customer site and back.
Transportation, Customs & Logistics Coordination
- Coordinate domestic and international shipments via trucking (FTL/LTL), air freight, ocean freight (LCL) and express couriers (DHL, FedEx,
etc.).
- Request transport quotations, compare logistics solutions and coordinate pickup and delivery schedules with carriers and warehouses.
- Prepare shipping documentation, product descriptions, HS codes and customs clearance information while coordinating with customs brokers, HQ and logistics providers.
- Coordinate cross-border shipments between Australia, Recent Zealand and other APAC regions while ensuring compliance with import/export regulations.
- Monitor transportation performance and continuously optimize logistics efficiency and service quality.
- Manage the regional spare parts logistics operating budget, including warehousing, transportation and related logistics expenses.
- Review and validate invoices from logistics service providers and coordinate with the Finance team to complete payment and reimbursement processes.
- Manage relationships with 3PL warehouses, transportation providers, courier companies and customs brokers, monitoring service quality, KPIs and contractual performance.
Warehouse Network Development & Continuous Improvement
- Support the evaluation, planning and implementation of new warehouse locations across Australia and New Zealand.
- Participate in warehouse setup projects, including 3PL selection, warehouse transition and operational readiness.
- Develop warehouse outsourcing strategies, monitor service performance and drive continuous operational improvements.
- Prepare logistics reports, KPI dashboards and SOP documentation to improve operational efficiency and standardization.
What We're Looking For
Must-have
- Bachelor's degree in Logistics, Supply Chain, Business Administration or equivalent experience.
- Hands-on experience in spare parts logistics, warehousing, inventory management and transportation coordination.
- Experience using WMS (GWMS preferred), SAP and SCM/work-order systems.
- Strong Microsoft Excel skills, including PivotTables, VLOOKUP/XLOOKUP and data analysis.
- Experience managing 3PL warehouses, transportation providers and logistics vendors.
- Professional working proficiency in English.
- Open to hybrid work from the Melbourne office alongside regular travel across Australia and New Zealand based on business needs.
Nice-to-have
- Experience in medical devices, healthcare or other regulated industries.
- Knowledge of Incoterms, Australian & New Zealand customs regulations, GST, import/export compliance and dangerous goods shipping requirements.
- Experience with warehouse setup, warehouse relocation, WMS implementation or logistics process optimization.
- Experience managing logistics budgets, warehouse operations or regional distribution networks.
- Professional working proficiency in Mandarin.
