Dynamic Civil Solutions is seeking an experienced and commercially driven Contract Administrator to join our growing team.
We specialise in concrete structures and civil construction, and we’re looking for someone who can take genuine ownership of the contractual and commercial administration of multiple projects concurrently.
This isn’t a role for someone who simply processes paperwork. We want a Contract Administrator who understands construction, stays ahead of contractual and commercial issues, manages variations and claims properly, keeps subcontractors and suppliers accountable, and works closely with our Project Managers and site teams to help deliver profitable projects.

The Role
As Contract Administrator, you will work closely with our Project Managers, Engineers, Site Supervisors, clients, consultants, subcontractors and suppliers across a range of concrete structural and civil construction projects.
You will be involved from procurement and contract establishment through project delivery, variations, progress claims and final account.
Key responsibilities include:
- Managing the contractual and commercial administration of multiple concrete structure and civil projects concurrently
- Use or Varicon System for Claims/PO's or willing to adapt
- Reviewing head contracts, subcontracts, purchase orders, scopes of work and project documentation
- Preparing detailed subcontractor and supplier scopes of work
- Preparing tender packages and issuing subcontractor and supplier enquiries
- Reviewing quotations and completing commercial comparisons
- Assisting with subcontractor and supplier negotiations
- Preparing subcontract agreements, purchase orders and contract documentation
- Ensuring subcontract scopes accurately capture project drawings, specifications and contractual requirements
- Managing subcontractor claims, payment schedules and supporting documentation
- Preparing and assisting with monthly client progress claims
- Measuring completed works and verifying quantities for claims
- Identifying, pricing, submitting and tracking variations
- Maintaining variation registers and ensuring changes to scope are captured commercially
- Preparing variation quotations with supporting labour, plant, material and subcontractor costs
- Reviewing drawings and specifications to identify changes, discrepancies and potential variation opportunities
- Managing RFIs, notices and contractual correspondence where required
- Maintaining registers for contracts, variations, claims, RFIs, procurement and commercial matters
- Monitoring project budgets, commitments, actual costs and forecast costs
- Assisting with project cost reporting and cost-to-complete forecasting
- Identifying commercial risks and opportunities early
- Monitoring subcontractor performance against agreed scope and commercial requirements
- Working closely with Project Managers and Site Supervisors to ensure site activities are commercially captured
- Completing quantity take-offs for concrete, reinforcement, formwork, earthworks, drainage, pavements and other civil works
- Assisting with procurement of concrete, reinforcement, formwork, civil materials and other project requirements
- Reviewing supplier invoices and subcontractor claims against actual works completed
- Assisting with extensions of time, delay notices and other contractual requirements
- Attending client, consultant and subcontractor meetings where required
- Maintaining accurate commercial records and supporting documentation
- Assisting with project handover, defects, final claims and close-out
- Managing subcontractor final accounts and project commercial close-out
- Supporting Project Managers in achieving project financial targets and maintaining project profitability
About You
This role will suit someone who understands that good contract administration is about more than paperwork — it is about protecting the commercial position of the business and helping projects make money.
We’re looking for someone who:
- Has experience as a Contract Administrator within concrete structures, civil construction or a similar construction environment
- Has a strong understanding of concrete, reinforcement, formwork and civil construction
- Can confidently manage the commercial administration of multiple projects simultaneously
- Has experience preparing and administering subcontract agreements and purchase orders
- Has strong experience with variations, progress claims and subcontractor claims
- Can read and understand structural and civil construction drawings
- Can complete accurate quantity take-offs and measurements
- Understands construction contracts, scopes of work and contractual obligations
- Can identify scope gaps, commercial risks and variation opportunities
- Has strong procurement and subcontractor management skills
- Understands project budgets, committed costs, forecasting and cost reporting
- Is commercially minded and understands the importance of project margin
- Has solid written communication and contractual correspondence skills
- Is organised and capable of managing competing priorities across several active projects
- Communicates confidently with clients, consultants, subcontractors, suppliers and site personnel
- Has strong attention to detail without losing sight of the overall project
- Takes ownership of issues and follows them through to resolution
- Is comfortable working closely with both office and site teams
- Holds a qualification in Construction Management, Quantity Surveying, Civil Engineering or a related discipline
- Holds a current Australian driver’s licence
Experience specifically within concrete structures, reinforced concrete construction and civil works will be highly regarded.
