The Parliamentary Services Department is seeking an organised proactive and motivated Administration Officer to join the Building Services team.
In this role, you will provide administrative and operational support to the Building Services Unit, contributing to the effective delivery of facilities, projects, and maintenance services across Parliamentary Buildings and grounds. You will play an important role in maintaining accurate records, coordinating administrative processes, and supporting projects that ensure the Parliamentary precinct remains safe, functional and well maintained.
About the Role
Reporting to the Building Services Manager, you will provide administrative support to the Building Services Unit and assist with the coordination of facilities, projects and asset management activities across the Parliamentary precinct.
Your key responsibilities will include:
- Maintaining asset management records, access control systems, and administrative documentation for Building Services.
- Coordinating meetings, preparing minutes, managing records, and supporting purchasing and invoice processes.
- Assisting with facilities and minor works projects, including preparing documentation and tracking contractor performance.
- Supporting contractor and WHS administration, including inductions and compliance record management.
- Providing operational support through asset inspections, contractor escorts, facility access activities, and emergency response procedures.
- Delivering high-quality administrative support to the Building Services team across a range of projects and facilities functions.
About You
To be successful in this role, you will have strong administrative and organisational skills, excellent attention to detail, and the ability to manage multiple priorities in a professional environment. You will be a team-focused individual who enjoys supporting operational activities and delivering high-quality customer service.
Applicants will need to meet the following selection criteria:
Essential:
1. Three years’ experience in a similar position preferably with at least two years’ experience in the building or facilities management industry.
2. Good written and communication skills
3. Sound judgement, tact and discretion.
4. Very good computing skills, including a good working knowledge of Microsoft Office.
5. The incumbent must maintain a level of physical fitness sufficient to safely perform minor maintenance and repair tasks associated with the role.
6. Knowledge of the Work Health and Safety Act.
