About us:
Established in 1998, Volunteering Gold Coast (VGC) was created to harness the power of local volunteers. Since then, VGC has recruited more than 60,000 volunteers, supporting direct services and a broad network of community organisations across the Gold Coast.
VGC delivers a range of community services designed to keep people connected, supported and able to participate in everyday life. As a Volunteer Resource Centre (VRC), we connect people with meaningful volunteering opportunities and work with community organisations to strengthen the local volunteering sector. VGC also delivers Community Transport, supporting older people, people with disability and vulnerable residents to access medical appointments, shopping and social activities.
About the role:
The Project Manager role is a fixed-term role until the end of June 2027. This position will be responsible for planning, coordinating, delivering and evaluating projects and programs undertaken by VGC. This may include government-funded programs, SSD, Volunteer Involving Organisation (VIO) support, community engagement, events, partnerships and other organisational priorities.
The role will work across VGC and with a range of community organisations, government agencies, service providers and other stakeholders. You will manage projects within agreed timeframes and budgets while ensuring that funding, contractual, and organisational requirements are met.
The role will manage multiple projects at times and will need to be organised, practical and able to respond to changing priorities and community needs.
Key Responsibilities
Project Management & Governance
- Plan, coordinate and deliver assigned projects and programs including government-funded initiatives
- Maintain project records, databases and reporting systems
- Monitor project milestones, KPIs, budgets and deliverables
- Prepare progress, financial, performance and acquittal reports
- Identify and manage project risks, issues and opportunities
- Coordinate project resources, stakeholders and activities
- Evaluate projects and identify opportunities to improve delivery
Sector & Community Engagement
- Build and maintain relationships with community organisations, service providers, VIOs, government agencies and sector bodies
- Coordinate stakeholder meetings, forums, networking and information sharing activities
- Participate in relevant sector networks and the SSD Community of Practice where required
- Coordinate newsletters, resources and other information for stakeholders
- Represent VGC at relevant meetings, events and expos
- Identify opportunities to strengthen partnerships and collaboration
VIO & Volunteer Engagement
- Support VIOs to strengthen their volunteer programs and practices
- Coordinate VIO workshops, information sessions and engagement activities
- Support volunteer recruitment, enquiries and referrals
- Build relationships with organisations to identify volunteer opportunities
- Support activities that improve volunteer recruitment, participation and retention
Workshops, Events & Community Engagement
- Plan and coordinate workshops, information sessions, forums, expos and community activities
- Coordinate speakers, venues, registrations, promotion and other event requirements
- Work with stakeholders to identify relevant topics and opportunities
- Record attendance, feedback, enquiries and outcomes
- Use feedback to improve future activities
Compliance & Risk Management
- Ensure projects comply with relevant legislation, funding and contractual requirements, VGC policies and quality standards
- Identify, assess and manage project risks
- Maintain appropriate project records and evidence
- Keep up to date with relevant funding requirements, sector developments and good practice
- Escalate significant risks and issues when required
Continuous Improvement
- Review projects and activities to identify improvements
- Use feedback and project data to improve delivery
- Develop and improve resources, processes and procedures
- Share learnings with the VGC team
Qualification/Skills:
Essential
- Experience in project or program management
- Experience managing government-funded programs, grants or contracts
- Experience with project reporting, compliance and acquittals
- Strong organisational skills and the ability to manage competing priorities
- Excellent written and verbal communication skills
- Strong stakeholder and relationship management skills
- Experience monitoring budgets, KPIs, milestones and project risks
- Strong problem-solving skills
- Valuable knowledge of Microsoft Office and project or database systems
- Ability to work independently and as part of a team
Desirable
- Experience in the volunteering, community services or not-for-profit sector
- Experience working with VIOs or community organisations
- Knowledge of aged care, CHSP and/or SSD
- Experience with community engagement, workshops, forums or events
- Experience with grant acquittals, budget monitoring and outcome measurement
- Understanding of equity, diversity and inclusion program delivery.
