Position Overview:
As the Office Manager at Pigott Stinson Lawyers, you will oversee a variety of bookkeeping, administrative, and financial tasks crucial to the smooth operation of our office. We are looking for a detail-oriented and proactive individual with a solid background in bookkeeping and office management.
Key Responsibilities:
Banking: Handle receipting and reconciliation tasks to ensure accurate financial records.
Trust Payments: Manage and process trust payments in a timely manner.
EOM Trust Reports: Prepare end-of-month (EOM) trust reports.
EOM CMA Journals: Complete end-of-month CMA journals.
Payroll: Process payroll, including PAYG and superannuation contributions.
EOM General Ledger Adjustment Journals: Perform general ledger adjustment journals at month-end.
Debtor Accounts: Manage and monitor debtor accounts to ensure timely payments.
Payroll Reports: Generate and review payroll reports.
Budget Reports: Prepare budget reports for partners and solicitors.
BAS, EOFY Reports, and Rollover: Manage BAS submissions,
end-of-financial-year reports, and rollovers.
Reports for Accountants: Prepare various reports for accountants.
Trust Audit Preparation: Prepare for and manage trust audits.
Managing Staff Enquiries: Address and resolve staff inquiries related to various office functions. Co-ordinating leave and staff rostering
Liaising with suppliers and trade creditors.
IT and Document Management: Oversee IT systems, document management, and related processes.
Facilities Management: Handle and manage office facilities.
Qualifications:
Proven experience as a bookkeeper or office manager within a legal services workplace.
Proficiency in Affinity and search providers preferred.
Solid organisational and multitasking abilities.
High attention to detail and accuracy.
Excellent communication skills and a proactive problem-solving approach.
Ability to work independently and manage time effectively.
