Executive Assistant / Business OperationsSpire Recruitment is seeking an experienced Executive Assistant / Business Operations professional to support the Managing Director and leadership team of a national property advisory firm.
This is a high-impact role for someone who enjoys being at the centre of operations, deals and decision-making in a fast-paced commercial property environment.OpportunityIn this role you will provide high-level executive support while coordinating key business operations, acquisitions activity and development projects across multiple jurisdictions.
You'll work closely with the Managing Director, leadership team, agents and external stakeholders, ensuring that diaries, projects, documentation and communications are running smoothly and to a high standard.Key responsibilities includeProviding direct executive support to the Managing Director – diary, meetings, travel and correspondencePreparing briefing materials, agendas, presentations and reports for leadership and board-level reviewsCoordinating and tracking business projects to ensure timely delivery and clear communicationManaging confidential information, records, databases and filing systems with accuracy and discretionCoordinating internal and external communications on behalf of the leadership teamYou'll also be involved in the commercial side of the businessSupporting acquisition due diligence and transaction coordinationPreparing Letters of Interest, deal summaries and financial overviewsLiaising with agents, consultants and finance teams to keep documentation and reporting on trackAssisting with valuation research and asset performance analysisPlus leasing, development and culture supportCoordinating marketing materials and campaign documentation through approved channelsManaging inspections,
stakeholder engagement and presentation materialsSupporting development projects through coordination, documentation and reportingCoordinating internal events, functions and culture initiatives, including contributing to the "fun committee" and internal communicationsAbout youYou're an EA / Business Operations professional who thrives in a commercial, fast-paced environment and enjoys working closely with senior leadership.
You're proactive, commercially aware and comfortable juggling multiple priorities without dropping the detail.You will ideally haveMinimum 2 years' experience supporting executives or managing business operationsAdvanced skills in Microsoft 365 (Outlook, Word, Excel, PowerPoint)Experience with Canva, Cirrus8 or CPG Office (or willingness to learn)Strong written and verbal communication skills, including document formatting and presentationExceptional organisation and time management, with a sharp eye for detailProfessional discretion when handling confidential informationA proactive, "owner's mindset" and relationship-focused approachCurrent Driver's LicenceYou'll also align with values such as hustle, initiative, candour, relationship-building and continuous improvement – operating as a true business partner rather than a purely transactional EA.Why this role?
