Administration Coordinator | Architecture Studio

The Role
n
This is a varied administration position where you will be the welcoming face of the studio while providing essential support to architects, project teams, and the wider business. You will play a key role in ensuring the studio operates smoothly, from coordinating daily office operations and supporting project administration to creating a positive and organised workplace environment for the team.
n
The ideal candidate will be someone who naturally takes ownership, notices the small details, and enjoys going above and beyond to make sure the office runs seamlessly — whether that means preparing a new starter's desk and equipment, ensuring office supplies are stocked, or simply making sure the studio is a welcoming place for employees and visitors.

Key Responsibilities
n
n
- Welcome clients, visitors, and stakeholders while managing reception and incoming enquiries.
n
- Answer and direct phone calls and manage shared email inboxes.
n
- Coordinate general office administration, including mail, stationery, kitchen supplies, and office presentation.
n
- Ensure the office environment is well maintained, including coordinating repairs, replacing supplies, arranging maintenance, and taking initiative to resolve day-to-day issues.
n
- Prepare workstations for new employees, including organising desks, equipment, access requirements, and ensuring a smooth onboarding experience.
n
- Coordinate meetings,
diaries, travel bookings, and team events.
n
- Maintain a welcoming office environment by managing small but important details such as ensuring supplies are available, meeting rooms are prepared, and shared spaces are presented professionally.
n
- Prepare, format, and maintain project documentation, reports, certificates, and fee proposals.
n
- Manage electronic filing systems and ensure project records are accurate and up to date.
n
- Provide administrative support to architects, project leaders, and the wider studio.
n
- Assist with general business support and contribute ideas to improve office systems and processes.
n
n
About You
n
n
- Previous experience in an administration, office coordination, studio support, or similar role.
n
- A proactive and hands-on approach with the ability to identify what needs to be done before being asked.
n
- Excellent organisational skills with the ability to manage multiple priorities.
n
- Qualified communication skills and a confident, approachable manner.
n
- Strong attention to detail and pride in creating an organised and welcoming workplace.
n
- Ability to work independently and take ownership of tasks.
n
- Strong Microsoft Office skills, including Outlook, Word, Excel, Teams, and SharePoint.
n
- Experience within architecture, engineering, construction, or professional services will be highly regarded.
n
