At Australian Essential Services Group (AESG), we deliver independent Essential Safety Measures (ESM) auditing services that keep thousands of commercial and residential properties compliant and protected nationwide.
n
Due to internal team changes—including staff moving to part time hours and upcoming maternity leave,we are seeking an additional Administration Officer to join our close-knit, supportive office in Ivanhoe.

- You adapt quickly to technology and feel confident navigating new software platforms (prior experience with systems like Uptick, Simpro, or similar workflow management tools is a great bonus!).

What You'll Be Doing
n
n
- Working closely within our admin team, you will take ownership of daily administrative workflows.
n
- Reviewing technical ESM reports thoroughly and producing accurate compliance documentation in a timely manner.
n
- Coordinating appointments and scheduling seamlessly between clients,
internal staff, and field auditors.
n
- Managing incoming email correspondence promptly while keeping client records updated and error-free.
n
- Handling inbound phone calls and account enquiries with a polite, helpful, and solution-focused approach.
n
- Following established company procedures to ensure all administrative tasks meet strict industry compliance standards.
n

What You Bring
n
n
- At least 2 years of proven experience in an office administration, compliance, or operational support role.
n
- Strong time management skills with a demonstrated ability to multitask and manage daily priorities effectively.
n
- Exceptional attention to detail, particularly with proofreading, document formatting, and data entry.
n
- Excellent written and verbal communication skills with a professional customer service demeanour.
n
- Technical proficiency using common software packages such as Microsoft Office and a readiness to learn specialised database software.
n
- Australian citizenship or permanent residency.
n
n
(Prior experience with Essential Safety Measures, building compliance, or safety documentation is advantageous, but full training on our industry processes will be provided for someone with strong core administrative skills.)
