Our client is a well-established and highly respected private specialist practice seeking 2 experienced, organised and proactive Senior Medical Secretaries to join their friendly and supportive team. These are part-time job share opportunities, with each position working 4 days per week (32 hours) within an extremely busy specialist practice.

Based in South Brisbane, with one day per week spent consulting at Greenslopes Private Hospital, you will work collaboratively with another permanent part-time Senior Medical Secretary to ensure the smooth day-to-day operation of the practice. In this pivotal role, you will provide exceptional administrative support while delivering a high standard of patient care and service. Experience using Xestro practice management software will be highly regarded, as you will be joining a well-established and efficient clinical environment.

These positions offer an excellent opportunity for experienced Medical Secretaries who enjoy working autonomously while being part of a collaborative team and are seeking long-term stability within a highly regarded specialist practice.

Key duties and responsibilities will include, but are not limited to:
n
Coordinate the day-to-day operations of a busy specialist physician practice, ensuring the smooth running of clinics and delivery of exceptional patient service.
n
Manage complex appointment scheduling across private practice consulting rooms and hospital locations.
n
Serve as the primary point of contact for patient enquiries, referrals, and ongoing care coordination.
n
Triage and process recent patient referrals, ensuring timely review and appointment allocation.
n
Coordinate pre-admission and preoperative requirements,
including arranging diagnostic investigations and liaising with patients and healthcare providers.
n
Oversee all inpatient and outpatient billing activities, including Eclipse claim management, exceptions, and resubmissions.
n
Prepare clinic correspondence and specialist reports using Lyrebird AI and other medical software platforms (Xestro).
n
Assist with financial administration, including end-of-month reporting and liaison with the practice bookkeeper.
n
Manage professional memberships, insurance renewals, supplier contracts and other operational requirements of the practice.
n
Monitor practice expenses and support initiatives to improve operational efficiency and cost management.
n
Work collaboratively with clinicians, hospitals, and allied health providers to ensure a seamless patient experience.

Both positions are pivotal Senior Medical Secretarial roles supporting a highly active and respected Physician within a busy private specialist practice. The roles require a seasoned medical administration professionals with strong all-round secretarial skills, a thorough understanding of specialist practice operations and the ability to confidently manage the day-to-day administration of a fast‐paced physician's practice.

The successful candidates will be highly organised, proactive and capable of working autonomously while maintaining exceptional attention to detail and patient service standards. Previous experience supporting a specialist or physician, managing complex clinic workflows, coordinating patient care, and overseeing billing and practice administration functions will be essential.

Remuneration:

A competitive hourly rate of $40 - $47 per hour plus superannuation will be offered to the successful candidate, reflecting the senior nature of this position and the level of experience required.
