Smart Talent Collective is a specialist recruitment and talent solutions business predominately supporting the Registered and Licenced Clubs’ industry. Our expertise consults to valued clients with recruitment, candidate sourcing, talent attraction, shortlisting, screening, recruitment administration, client care and post-placement relationship management.
We are looking for a proactive, organised and people-focused Recruitment Operations Manager to join our team and play a central role in delivering a responsive, professional and human recruitment experience for our clients and candidates.
This is a diverse role combining recruitment resourcing, candidate engagement, administration, CRM management, office coordination, social media support and post-placement client care.
About the role
Reporting to the Chief Executive Officer, you will support the full recruitment process from sourcing and screening through to interview coordination, client communication, documentation, reporting and post-placement follow-up. You will also manage and own our recruitment systems, candidate records and client information accurate and current.
This position is open to being hybrid, with the flexibility to work remote and utilise our Norwest offices as required, alongside regular site visits to meet with clients and candidates.
What you’ll be doing
Source and engage quality candidates through LinkedIn, SEEK, referrals, talent pools and creative sourcing channels
Conduct screening calls and interviews to assess skills, experience, motivation, values alignment and career goals
Coordinate interviews, candidate communications and recruitment workflows, while keeping ATS/CRM records accurate and up to date
Prepare job advertisements, candidate profiles, market updates and recruitment reports for clients and internal stakeholders
Support day-to-day office administration, business operations and process improvements to help deliver a responsive and professional service
Prepare recruitment and client documentation, including service agreements, candidate profiles, job descriptions, reference checks, compliance reports and general correspondence
Provide post-placement follow-up with clients and candidates to gather feedback, strengthen relationships and support long-term success
Identify opportunities to grow client relationships through proactive follow-up, warm business development activity and thoughtful promotion of Smart Talent Collective’s recruitment services
Contribute to social media, marketing and employer branding activity that promotes opportunities and builds the Smart Talent Collective brand
Liaise with finance regarding client invoicing, payment follow-up, payment status updates and related queries
Attend client sites to support job briefings, understand role requirements and gather information for successful recruitment campaigns
Represent Smart Talent Collective at industry events and functions, building connections with potential candidates and clients
What we’re looking for
Prior end-to-end Recruitment,
HR, office administration or operations experience, with confidence supporting and engaging with senior executives
Outstanding communication skills, with the ability to write clearly, speak confidently and build trust in face-to-face, phone and written interactions
A natural ability to engage with clients and candidates, ask thoughtful questions and create positive, professional and human connections
Genuine curiosity about people, career pathways, Registered Club business and community needs and what makes the right match between a candidate and a client
Strong organisation skills, attention to detail and the ability to manage multiple priorities while keeping recruitment activity moving smoothly
Confidence using Microsoft 365, CRM and applicant tracking systems, with a willingness to maintain accurate records and make positive use of data
Enjoyment of a diverse, central role that combines recruitment, administration, client care, candidate support, marketing and day-to-day business operations
Desirable but not essential
Tertiary qualification or further studies in Business, Human Resources, Organisational Psychology, Hospitality Management or related areas of studies
Prior working experience with Registered Clubs is highly desired but not essential
