Office Manager
n
Location: Melbourne CBD | Part-Time, Flexible | $100,000 - $120,000 AUD (pro rata)

Our client, a prestigious Barristers Chambers located in Melbourne's CBD, is seeking an experienced Office Manager to join their team on a part-time, flexible basis. This is a broad and varied role that blends facilities management, member services, board support, and finance, all within a professional legal environment that demands discretion, accuracy, and a high standard of presentation at all times.

About the Role
n
This is a fantastic opportunity for an experienced practice or office manager to take ownership of the day-to-day running of a well-regarded Chambers, working closely with members, the Board, and front-of-house staff.
n
Key responsibilities include
n
Member & Onboarding Management
n
n
- End-to-end coordination of the new member process, including membership agreements, fee collection, and structured inductions
n
- Maintaining accurate member records and databases
n
- Managing membership renewals, fee schedules, and agreement variations
n
- Acting as first point of contact for member queries
n
- Offboarding departing members, including final reconciliations
n
n
Facilities & Office Operations
n
n
- Overseeing the day-to-day running of the Chambers, including communal, meeting, and shared workspace areas
n
- Managing room bookings, meeting space setups, and AV requirements
n
- Coordinating with external contractors, building management, and service providers for maintenance, cleaning, security, and fit-out or repair works
n
- Managing office supplies, equipment, and vendor relationships
n
- Ensuring the physical environment consistently reflects the standard of the Chambers
n
n
Events Coordination
n
n
- Planning and coordinating Chambers events, including member functions, professional development sessions, and Board-related events
n
- Managing invitations, RSVPs, and event logistics end-to-end
n
n
Board & Director Support
n
n
- Taking and distributing accurate minutes at Board meetings
n
- Providing ad hoc administrative support to Directors, including diary management and document preparation
n
- Assisting with the preparation of Board papers and reports
n
- Supporting governance and compliance requirements
n
n
Finance & Accounting Support
n
n
- Collecting and receipting membership fees and other Chambers income
n
- Assisting with accounts payable and receivable functions
n
- Liaising with the external accountant or bookkeeper
n
- Monthly reconciliations, expense tracking, and budget reporting support
n
- Issuing invoices and following up on outstanding payments
n
n
People Management
n
n
- Direct line management of the Receptionist, including day-to-day oversight and scheduling
n
- Supporting a positive, qualified front-of-house culture
n
n
Background & Experience The ideal candidate will bring proven experience in an Office Manager or Practice Manager role, ideally gained within a professional services, legal, or membership-based environment. Strong accounting and bookkeeping skills are essential, along with hands‐on experience in facilities management.
n You'll be comfortable operating at both an operational and senior stakeholder level, with the confidence to support a Board and the warmth to build genuine relationships across a diverse membership. Exposure to finance and accounts functions, facilities oversight, and people leadership will be highly regarded, as will a natural ability to manage competing priorities with discretion, composure, and strong attention to detail.

Experience, Technical Requirements & Qualifications
n
n
- Office management and bookkeeping/accounting experience
n
- Experience in a legal office environment (desirable)
n
- Extensive use of MS Word, Excel, Outlook, Mac Mail, printer drivers, Teams, OneDrive, Dropbox, and online banking
n
- Comfortable learning new software applications (e.g., for coordination with Company accountants)
n
- Must be willing and able to undergo VicPol and AFP police checks
n
n
Skills & Attributes

- Strong bookkeeping and financial administration experience (essential)
n
- Experience liaising with external accountants/auditors
n
- Highly organised with strong attention to detail
n
- Ability to manage multiple stakeholders and priorities
n
- Experience supporting governance or committee structures (desirable)

- Proven people leadership capability
n
- Professional, proactive, and service-oriented approach

Compensation $100,000 - $120,000 AUD (pro rata for part-time hours)
