About the Role
n
We are seeking an organised, proactive, and customer-focused Sales & Office Administrator to support our sales operations and day-to-day office functions. This role is ideal for someone who enjoys working across multiple areas of the business, building relationships with clients, and helping a growing company operate efficiently.
n
You'll be the first point of contact for prospective and existing authors, assist the sales team throughout the customer journey, maintain accurate records, and ensure smooth administrative operations.
n
Possessing a love of books will really help you in this role.
n
Key Responsibilities
n
Sales Administration
n
n
- Respond to enquiries from prospective authors via phone, email, and online channels.
n
- Qualify leads and schedule consultations for publishing consultants.
n
- Prepare proposals, quotes, contracts, and sales documentation.
n
- Maintain accurate customer records in the CRM system.
n
- Follow up with leads and existing clients to support the sales pipeline.
n
- Track sales activity and prepare weekly and monthly reports.
n
- Coordinate onboarding of new authors after contracts are signed.
n
n
Office Administration
n
n
- Manage general office administration and correspondence.
n
- Coordinate meetings, appointments, and calendars.
n
- Organise digital filing systems and maintain company records.
n
- Order office supplies and liaise with external suppliers.
n
- Assist with invoicing,
payments, and basic bookkeeping support.
n
- Support the leadership team with administrative tasks and special projects.
n
n
Customer Service
n
n
- Provide exceptional service to authors throughout their publishing journey.
n
- Answer enquiries promptly and professionally.
n
- Coordinate communication between authors and internal teams, including editorial, design, production, and marketing.
n
- Help resolve client queries efficiently and positively.
n
n
General Responsibilities

- Contribute to improving internal processes and workflows.
n
- Assist with marketing events, webinars, book launches, and author events when required.
n
- Support a collaborative, positive, and growth-focused workplace culture.
n
- Undertake additional administrative duties as required in a startup environment.

About You
n
Essential Skills & Experience
n
n
- Previous experience in sales support, office administration, customer service, or a similar role.
n
- Excellent written and verbal communication skills.
n
- A love of books
n
- Strong organisational and time-management abilities.
n
- High attention to detail.
n
- Proficiency in Microsoft Office and Google Workspace.
n
- Experience using CRM systems.
n
- Ability to manage multiple priorities in a fast-paced environment.
n
- Professional, friendly, and customer-focused approach.

Desirable

- Experience in publishing, media, education, or other creative industries.
n
- Familiarity with project management software such as Asana, Trello, or Monday.com.

- Basic bookkeeping or invoicing experience.
