Job Description
BAI Assets Pty Ltd is looking for its next Site Administrator to join the team.
n
Spanning leasing, contractor coordination, compliance and site operations, BAI Assets manages a busy, evolving site while working with contractors, sub-tenants, regulators and service providers to keep the property safe, compliant and running smoothly.
n
We're looking for an experienced Site Administrator to be the organisational backbone of our site office — owning records, contract administration, reception and compliance documentation.
n
Working closely with the Site Manager, Commercial Manager, HSE Manager and the wider site leadership team, you'll be the first point of contact for a busy industrial site, keeping registers, inductions and audit documentation current while supporting the broader team with day-to-day administration.

What You'll Be Doing
n
Maintain the site's filing system and document control, including leases, licences, permits, insurances, invoices and correspondence.
n
Prepare, format and distribute minutes, reports, notices and correspondence for the site leadership team.
n
Raise and track purchase orders, receipt goods and services, and assist Finance with month-end queries and budget coding.
n
Maintain the contracts register for site contractors, consultants, sub-tenants and lessees, including key dates and insurance renewals.
n
Support contractor onboarding by collecting insurances, licences, SWMS and compliance documents before site access is granted.
n
Track contractor claims, variations and approvals, keeping an auditable trail of signed documentation.
n
Act as first point of contact for the site:
manage calls, the site office inbox, and greet and sign in visitors, contractors and delivery drivers.
n
Maintain visitor and contractor sign-in/sign-out systems and daily attendance records, including for emergency musters.
n
Deliver basic site inductions covering site rules, PPE, emergency procedures and restricted areas, and maintain the induction register.
n
Keep audit-ready records for environmental licence conditions, inspections and other statutory obligations, and support the HSE Manager and external auditors with document requests.
n
Maintain site registers including keys and access cards, plant and equipment, chemicals, and permits to work.
n
What We're Looking For
n
2+ years' administration experience in an industrial, construction, manufacturing or similar site-based environment.
n
Strong document control and record-keeping skills with high attention to detail.
n
Confident phone manner and professional front-of-house presentation.
n
Proficiency in Microsoft 365 (Outlook, Word, Excel, SharePoint/OneDrive).
n
Ability to handle confidential commercial information with discretion.
n
Current driver's licence
n
Highly Regarded
n
Experience with purchase orders and invoice matching in an ERP or accounting system.
n
Exposure to contractor management or induction systems and WHS documentation.
n
White Card and/or first aid certificate (or willingness to obtain).
n
Local to the Albury–Wodonga region.
