Job Description
The HubSpot Solutions Architect is the senior client-facing and commercially focused member of an Australian B2B marketing agency.
n
The role is responsible for understanding how a client's business operates, identifying the commercial and operational gaps in its current systems, and designing a practical HubSpot solution that can be sold, implemented and adopted successfully.
n
This is not primarily a HubSpot configuration role.
n
The successful candidate must be able to understand a B2B company's revenue model, sales process, marketing activity, customer lifecycle and account-management structure, and then translate those requirements into:
n
n
- a commercially sound scope of work;
n
- a detailed implementation blueprint;
n
- aligned HubSpot product and integration recommendations; and
n
- a clean handover to the implementation team.
n

The role also acts as the key technical and solution-design contact between an Australian B2B marketing agency, the client and HubSpot.
n
Primary Outcomes
n
The Solutions Architect is expected to:
n
n
- improve the quality and commercial credibility of discovery;
n
- increase the conversion rate of HubSpot opportunities;
n
- reduce scope gaps, delivery rework and project overruns;
n
- ensure HubSpot products are matched correctly to client requirements;
n
- produce implementation-ready blueprints for the delivery team;
n
- improve client confidence throughout the sales and onboarding process; and
n
- convert suitable clients into ongoing Care Points support agreements.
n

Core Responsibilities
n
1. Existing HubSpot Portal Audits
n
n
- Conduct structured audits of existing HubSpot portals.
n
- Assess the current configuration across relevant HubSpot Hubs.
n
- Review sales pipelines, lifecycle stages, properties, workflows, lead routing, reporting, permissions and integrations.
n
- Identify data-quality, governance, adoption and operational gaps.
n
- Evaluate whether the portal reflects how the client's business and teams actually operate.
n
- Prepare a current-state assessment and prioritised gap analysis.
n
- Distinguish between:
n n
- urgent technical corrections;
n
- operational improvements;
n
- strategic improvements;
n
- additional HubSpot products or Hubs required; and
n
- opportunities suited to Care Points or separately scoped projects.
n

2. Discovery for New HubSpot Clients
n
n
- Lead structured discovery workshops with business owners, executives, sales leaders, marketing leaders and operational stakeholders.
n
- Understand the client's:
n n
- business model;
n
- revenue streams;
n
- target markets;
n
- customer segments;
n
- buying process;
n
- sales cycle;
n
- lead-management process;
n
- account-management model;
n
- quoting and forecasting requirements;
n
- marketing activity;
n
- service and post-sale processes;
n
- reporting requirements; and
n
- current technology stack.
n
n
- Identify business pain points, process leakage, manual work, reporting gaps and adoption risks.
n
- Separate genuine requirements from low-value feature requests.
n
n

3. HubSpot Demonstrations
n
n
- Design and deliver tailored HubSpot demonstrations for new prospects.
n
- Configure demonstrations around the client's actual business requirements rather than delivering generic product tours.
n
- Demonstrate relevant use cases across:
n n
- Sales Hub;
n
- Marketing Hub;
n
- Service Hub;
n
- Operations Hub / Data Hub;
n
- Content Hub;
n
- Commerce or Revenue Hub; and
n
- relevant integrations.
n
n
- Explain commercial value, implementation considerations and adoption requirements.
n
- Support the CEO and sales team during proposal presentations and solution defence.
n
n
4. Solution Architecture
n
n
- Recommend the appropriate HubSpot Hubs, tiers, seats, modules and integrations.
n
- Define the proposed architecture for:
n n
- customer and contact segmentation;
n
- lifecycle stages;
n
- lead status and qualification;
n
- sales pipelines and stages;
n
- account-management processes;
n
- lead assignment and routing;
n
- SLAs and task automation;
n
- marketing automation and nurture;
n
- service and ticketing workflows;
n
- forecasting;
n
- dashboards and reporting;
n
- permissions and governance;
n
- data migration; and
n
- integrations with ERP, accounting, quoting, website and other systems.
n
n
- Ensure recommendations are practical, scalable and commercially justified.
n
- Work with the Head of Delivery to validate technical feasibility and effort.
n
n
5. HubSpot Partner Collaboration
n
n
- Work directly with HubSpot sales and technical teams.
n
- Validate product suitability, licence requirements, limitations and technical dependencies.
n
- Coordinate joint solution discussions where required.
n
- Ensure Australian B2B marketing agency and HubSpot present a consistent recommendation to the client.
n
- Manage technical and sales communication with HubSpot through the opportunity lifecycle.
n
- Escalate product, integration or commercial risks before the client commits.
n
n
6. Scoping and Scope Control
n
n
- Prepare detailed and accurate scopes of work.
n
- Clearly define:
n n
- project objectives;
n
- deliverables;
n
- implementation phases;
n
- assumptions;
n
- exclusions;
n
- client responsibilities;
n
- data requirements;
n
- integration requirements;
n
- acceptance criteria;
n
- timelines;
n
- estimated effort; and
n
- change-request triggers.
n
n
- Protect project margin by eliminating vague or open-ended commitments.
n
- Challenge under-scoped opportunities and unrealistic timelines.
n
- Support pricing recommendations and proposal defence.
n
n
7. Implementation Blueprinting
n
n
- Create a delivery-ready implementation blueprint for every approved project.
n
- The blueprint must include:
n n
- target-market and customer segmentation;
n
- lifecycle architecture;
n
- sales pipelines and stage definitions;
n
- required properties and data model;
n
- automation and workflow requirements;
n
- lead routing and ownership rules;
n
- reporting and dashboard requirements;
n
- permissions;
n
- migration requirements;
n
- integration requirements;
n
- testing and acceptance requirements;
n
- training requirements; and
n
- adoption measures.
n
n
- Ensure the blueprint gives the implementation team sufficient detail to execute without repeatedly returning to the client for clarification.
n
n
8. Handover to Implementation
n
n
- Lead the formal sales-to-delivery handover.
n
- Present the commercial context, business requirements, architecture, scope and risks to the implementation team.
n
- Confirm that all required client inputs have been received.
n
- Resolve ambiguity before technical work begins.
n
- Remain available for agreed architecture questions and scope decisions during delivery.
n
n
9. Client Adoption and Care Points Conversion
n
n
- Set expectations for adoption and ongoing optimisation during discovery and kickoff.
n
- Identify clients suited to the Australian B2B marketing agency Care Points support packages.
n
- Position Care Points as a transparent ongoing technical support and optimisation service.
n
- Support the conversion of clients into Care Points at:
n n
- proposal stage;
n
- implementation kickoff;
n
- go-live;
n
- 30-day review; and
n
- quarterly review.
n
n
- Identify future optimisation, integration and expansion opportunities.
n
n
Role Boundaries
n
The Solutions Architect owns:
n
n
- commercial and operational discovery;
n
- solution design;
n
- product recommendations;
n
- demonstrations;
n
- scoping;
n
- implementation blueprints;
n
- client-facing solution communication; and
n
- delivery handover.
n
n
The Solutions Architect does not own:
n
n
- routine portal configuration;
n
- bulk data migration execution;
