We are seeking an experienced Office Administrator to join our team in Somerton, Victoria. This full-time Monday to Friday role is ideal for someone with strong administration skills, railway industry knowledge, and experience working with compliance systems and office processes.

You will support daily office operations, assist with rail compliance documentation, coordinate administration tasks, and work closely with internal staff, contractors, suppliers, and project stakeholders.

About the Role

- Provide day-to-day office administration support across business operations.
n
- Prepare, maintain, and update documents, registers, reports, spreadsheets, and records.
n
- Assist with railway-related compliance documentation, work packs, permits, inductions, and site administration.
n
- Use and maintain compliance platforms such as Avetta, Aquipa, HammerTech and RIW.
n
- Support purchase orders, invoicing, basic accounts administration, and MYOB-related tasks.
n
- Coordinate emails, phone enquiries, filing, data entry,
bookings, and internal communications.
n
- Liaise professionally with staff, contractors, clients, suppliers, and project stakeholders.
n
- Follow workplace health, safety, quality, and rail industry procedures.
n

About You
n
You are organised, reliable, and confident working in a busy office environment. You have excellent attention to detail, strong communication skills, and the ability to manage competing priorities while supporting operational and project teams.
n
Skills and Experience
n
n
- Previous experience in office administration, project administration, transport, construction, logistics, or rail-related environments.
n
- Railway industry knowledge, including terminology, compliance documentation, site processes, or safety requirements.
n
- Experience using rail compliance platforms such as Avetta, Aquipa, HammerTech and RIW will be highly regarded.
n
- Strong computer skills, including Microsoft Office Suite, MYOB, and general database systems.
n
- High level of accuracy, organisation, and time management.
n
- Excellent written and verbal communication skills.
n
- Ability to work independently and as part of a team.
n
- Professional phone manner and customer service approach.
n
- Current driver licence preferred.
n
