Grubers Beckett Chartered Accountants is seeking an organised and professional Administration Assistant / Office Administrator to join our Sydney CBD office.
n
This is a varied client-facing role providing administrative support to our accountants, directors and broader team. The successful applicant will assist with the day-to-day operation of the office, client communications, document management and general administration.

Key responsibilities
n
Your responsibilities may include:
n
n
- Answering and directing incoming telephone calls
n
- Greeting clients and managing the reception area
n
- Scheduling appointments and maintaining staff calendars
n
- Responding to general client enquiries
n
- Preparing client correspondence, letters and emails
n
- Collating,
formatting and sending financial statements and taxation documents
n
- Managing electronic signing and document return processes
n
- Maintaining client records and updating internal databases
n
- Scanning, filing and managing electronic documents
n
- Lodging documents through relevant online portals
n
- Assisting with new client onboarding and identification requirements
n
- Monitoring outstanding information and following up clients
n
- Processing incoming and outgoing mail
n
- Preparing meeting rooms and assisting with client appointments
n
- Ordering office supplies and coordinating office services
n
- Assisting with debtor follow-up and general invoicing administration
n
- Providing administrative support to accountants, managers and directors
n
- Helping maintain workflow schedules and compliance deadlines
n
- Completing other general office administration duties as required
n
n
About you
n
The ideal applicant will have:
n
n
- Previous experience in administration, reception, customer service or office support
n
- Strong organisational and time-management skills
n
- Excellent attention to detail
n
- Skilled written and verbal communication skills
n
- A friendly and confident manner when dealing with clients
n
- The ability to manage multiple priorities and meet deadlines
n
- Strong computer and data-entry skills
n
- The ability to maintain confidentiality and handle sensitive information
n
- A proactive approach and willingness to assist other team members
n
- The ability to work both independently and as part of a team
n
- Australian working rights
n
n
Experience in an accounting, legal, financial services or other professional office will be highly regarded but is not essential.
n
Software experience
n
Experience with any of the following will be viewed favourably:

- Microsoft Outlook, Word and Excel

- Xero Practice Manager

- Adobe Acrobat

- Electronic document-signing platforms

- Client relationship management systems

Training will be provided in the firm's internal systems and procedures.
