ABOUT THE ROLE
We are seeking a full-time Office Manager to manage and control the office administration function within our Sydney warehouse operations.
This role is responsible for office systems, staff coordination, administration workflow, records, office resources, compliance processes and communication between warehouse operations, purchasing, sales, dispatch, customer service and management.
This is an important office management role in a fast-moving warehouse and distribution environment.
KEY RESPONSIBILITIES
- Plan, organise and review office services, priorities and office service standards.
- Manage the daily warehouse office administration workflow.
- Allocate staff duties and monitor completion, accuracy and performance.
- Maintain office records, order records, dispatch records, stock discrepancy records, backorder notes and administration files.
- Liaise with management, purchasing, sales, customer service, dispatch, suppliers and other service providers to coordinate office business and resolve issues.
- Ensure office equipment and supplies are maintained, including computers, scanners, printers, labels, phones, stationery and system access.
- Support administration and process control across company systems.
- Ensure office and administration work complies with company policies, procedures, WHS requirements and relevant legislation.
- Coordinate personnel administration activities including onboarding support, training coordination, supervision support, performance follow-up, roster support and payroll communication.
- Prepare daily and weekly reports for management regarding office workflow, staffing, backorders, delays, errors and process improvement opportunities.
- Maintain office procedures, checklists and process standards.
- Coordinate communication between warehouse operations,
office staff and management.
SKILLS AND EXPERIENCE
- Previous experience in office management, administration management, warehouse office administration, logistics administration or a similar role.
- Experience assigning work, coordinating staff tasks or monitoring staff performance.
- Strong administration, record keeping and communication skills.
- Ability to manage competing priorities in a busy operational environment.
- Strong computer skills and ability to use business systems.
- Good problem-solving skills and attention to detail.
- Ability to communicate clearly with staff, management, customers, suppliers and service providers.
- Understanding of workplace procedures, WHS requirements and compliance expectations.
- Ability to work full-time from our Sydney warehouse office.
DESIRABLE EXPERIENCE
- Warehouse, logistics, distribution or operations administration.
- ERP, warehouse management or transport management systems.
- Staff training, rostering, payroll coordination or performance follow-up.
- Customer service, purchasing, dispatch or backorder administration.
- Process improvement, SOPs, checklists and reporting.
QUALIFICATIONS
A diploma, advanced diploma or relevant qualification in business, administration, management or a related field will be highly regarded.
Relevant experience in office management, administration management, logistics administration or similar work may also be considered.
