Cairncross Martin is an international FF&E; and OS&E; procurement consultancy with more than three decades of experience delivering complex, design-led projects across Australia and international markets.

Working on behalf of owners and developers, we manage the complete procurement journey - from cost planning, tendering and contract administration through to production, logistics, installation and final handover. Our role is to protect the design intent, maintain commercial control and ensure every item is delivered to the required quality, programme and budget.

We are seeking an experienced FF&E; & OS&E; Project Manager to join our Sydney team to support our growing portfolio of live projects.

Important: This is an office-based position in Sydney. It is not a remote or hybrid role. Applicants must be based in Sydney or willing to relocate and attend the office full-time.

About the role

This is a hands-on project delivery role for someone capable of taking ownership, managing competing priorities and confidently representing Cairncross Martin with clients, consultants, designers, operators and suppliers.

You will coordinate and manage FF&E; and OS&E; procurement across multiple hospitality and residential projects, from early cost planning and specification review through to delivery, installation and close-out.

Key responsibilities will include:

- Reviewing design documentation, specifications, schedules and operational requirements
- Preparing and maintaining cost plans, procurement programmes and project reports




- Developing procurement strategies and managing tender packages
- Obtaining, analysing and levelling supplier quotations
- Preparing purchase recommendations, purchase orders and associated project documentation
- Managing budgets, commitments, variations, payment schedules and commercial reporting
- Coordinating samples, shop drawings, prototypes and approval processes
- Monitoring supplier production, quality, lead times and programme compliance
- Managing freight, shipping, customs, warehousing and delivery coordination
- Planning and overseeing installation, placement, defects and final handover
- Maintaining clear, accurate and transparent communication across all project stakeholders
- Identifying risks early and taking practical action to keep projects moving

About you

We are looking for an established project skilled with genuine experience in FF&E; and OS&E; procurement and delivery. This is not an entry-level coordination role. The successful candidate must be comfortable taking responsibility for their projects and working through the commercial, technical and logistical challenges involved in delivering complex interiors.

You will bring:

- Demonstrated experience managing FF&E; and/or OS&E; projects,



preferably within hospitality, high-end residential or a related design and construction environment
- Strong commercial capability, including budgeting, tender analysis, procurement and cost reporting
- A sound understanding of custom furniture, lighting, fabrics, equipment and operational requirements
- Experience managing international and local suppliers, production schedules and logistics
- The ability to interpret specifications, drawings, schedules and project documentation
- Strong organisational skills and the ability to manage multiple workstreams and deadlines
- Excellent written and verbal communication skills
- Confidence dealing directly with clients, designers, consultants, contractors and suppliers
- Meticulous attention to detail, sound judgement and a practical, solutions-focused approach
- A collaborative attitude, personal accountability and pride in delivering work to a high standard
