We are looking for a reliable, dedicated and detail-oriented Specialist Medical Receptionist to join our busy cardiology and cardiac diagnostic practice.
This role is suited to someone who genuinely cares about their work, takes ownership of their responsibilities and wants to be part of a team.
About the role
The Specialist Medical Receptionist is responsible for providing professional, efficient and patient-focused reception and administrative services within a cardiology practice. The role requires a high level of accuracy and attention to detail when managing specialist referrals, appointments, cardiac diagnostic testing, Medicare/MBS eligibility requirements, patient records, billing and communication with patients, referring practitioners and specialist cardiologists.
Key responsibilities
- Welcoming patients and providing excellent patient service.
- Managing a busy telephone and reception environment.
- Booking cardiology consultations and cardiac investigations.
- Managing referrals and patient records.
- Completing Medicare/HPOS eligibility checks.
- Understanding and applying relevant MBS requirements.
- Booking ECHOs, Stress ECHOs, Holter monitors, ABP monitoring, Heart Bug/event monitors and ECGs.
- Processing payments and billing.
- Managing specialist correspondence and referrals.
- Monitoring appointment diaries and helping maximise appointment availability.
- Liaising with cardiologists, GPs, patients and other healthcare providers.
- Following up outstanding tasks and ensuring nothing is left incomplete.
- Maintaining strict patient confidentiality and privacy.
Full training will be provided; however, attention to detail, reliability, initiative and a willingness to learn are essential.

Availability
- Minimum 3 days per week, with the potential for additional days when required.
- Applicants must be flexible with their working days based on practice requirements.
- Weekend availability is required from time to time, depending on operational needs.
- Flexibility to cover additional shifts when colleagues are unavailable will be highly regarded.
Essential
- Previous medical reception experience.
- Excellent communication and customer service skills.
- Strong computer and administrative skills.

Desirable
Experience in:
- Cardiology or specialist medical practices.
- Echocardiography or cardiac diagnostic services.
- Medicare/HPOS.
- MBS billing.
- Specialist referrals and correspondence.
- Best Practice, MedicalDirector, PracSoft or similar medical software.
