As part of our continued growth, we're looking for a Submissions Coordinator to join our Brisbane team and support our tendering and bid activities.

About the Role

n

We're seeking a detail-oriented Submissions Coordinator to manage the end-to-end coordination of tender and proposal submissions for Martinus Haulage. You'll work closely with bid managers, subject matter experts, and operational teams to ensure high-quality, compliant, and on‐time submissions.

Key Responsibilities

- Coordinate the preparation, formatting, and submission of tenders, proposals, and prequalification documents
n
- Manage submission timelines, ensuring all deadlines and compliance requirements are met
n
- Liaise with internal stakeholders (operations, HSEQ, commercial, and technical teams) to gather content and inputs
n
- Maintain a library of submission templates, case studies, and boilerplate content
n
- Proofread and quality‐check documents for accuracy, consistency, and brand alignment
n




- Track submission pipelines and maintain accurate records/reporting on bid status and outcomes
n
- Support continuous improvement of submission processes and document management systems
n

About You

n

n
- Prior experience in a bid, tender, submissions, or proposal coordination role (rail, transport, logistics, or infrastructure sector highly regarded)
n
- Excellent written communication and document formatting skills
n
- Strong organisational skills with the ability to manage multiple deadlines simultaneously
n
- High attention to detail and a quality‐first mindset
n
- Proficiency in Microsoft Office (Word, PowerPoint, Excel); experience with document management or bid management software is a plus
n
- Ability to work collaboratively across teams and manage competing stakeholder priorities
