The Role
n
We are seeking a proactive and detail-oriented Finance Officer / Assistant Accountant to support the day-to-day operations of our Finance team. This broad, hands-on role will be responsible for accounts payable and receivable, vendor management, payment processing, bank and credit card reconciliations, cashflow support, and maintaining accurate financial records.
n
You will work closely with internal stakeholders, suppliers and external service providers to resolve queries, improve finance processes and support month-end reporting. Key Responsibilities:
n
Accounts Payable, Receivable (AP/AR) and Vendor Management
n
n
- Process and post supplier invoices, ensuring all required management approvals are obtained.
n
- Maintain the Accounts Payable inbox and respond to urgent payment requests and vendor queries.
n
- Create and verify new vendor records, including validating bank details through EFTSure to reduce the risk of fraud.
n
- Liaise with vendors to resolve invoice, account and payment discrepancies.
n
- Prepare electricity wholesale/network counterparties invoicing data and follow up outstanding invoices.
n
- Liaise with the Customer Service team regarding customer chargebacks and refunds, including performing checks to confirm accuracy and approval.
n
- Manage vendor credit applications and follow up payment-related matters.
n
- Prepare concession invoices for government departments, perform sample checks of concession calculations and assist with annual concession audits.
n
n
Cashflow and Treasury Support
n
n
- Maintain and update the daily cashflow statement.
n
- Monitor daily cash receipts/expenses and investigate discrepancies or unusual transactions.
n
- Monitor daily and monthly cash movements to ensure transactions are accurately recorded and sufficient funding is available.
n
- Distribute daily reports, including aged trial balance and cash receipts reports, to relevant stakeholders and business partners.
n
- Prepare and circulate high-level loan facility availability calculations, supported by detailed aged trial balance information, to shareholders and other relevant stakeholders.
n
n
Financial Reporting and Reconciliation
n
n
- Complete bank reconciliations, employee expense claims and credit card reconciliations on a timely basis.
n
- Perform monthly Accounts Payable and Accounts Receivable reconciliations to ensure invoices are accurately recorded and overdue balances are investigated and explained.
n
- Prepare and post journals for commissions, concessions, prepayments, amortisation and other financial adjustments.
n
- Maintain the Fixed Asset Register, including recording asset additions, disposals, transfers and depreciation. Reconcile the Fixed Asset Register to the general ledger, and ensuring supporting documentation is retained.
n
- Update and maintain gas volume summaries and related supporting reports.
n
n
Regulatory Compliance and Audit Support
n
n
- Provide support for regulatory and financial audits, including Victorian concession audits, annual statutory audits and the BDO semi-annual audit.
n
- Prepare supporting documentation and respond to audit queries as required.
n
n
Other Ad-hoc tasks as required
n
Essential Skills and Experience:
n
n
- Previous experience in an accounts payable, accounts receivable, finance officer, assistant accountant or similar finance role.
n
- Strong understanding of basic accounting principles, including journals, reconciliations, accruals, prepayments and general ledger coding.
n
- Experience processing supplier invoices, employee expense claims, credit card transactions and payment runs.
n
- Strong Cashflow management skills, including monitoring bank balances, understanding upcoming cash requirements, prioritising payments, and supporting short-term cashflow forecasting.
n
- Ability to prepare and update cashflow schedules, identifying timing differences, flag potential funding gaps early, and communicate cash requirements to management.
n
- Ability to complete bank reconciliations, AP/AR reconciliations and month-end support tasks accurately and on time.
n
- Strong attention to detail, with the ability to identify discrepancies, investigate issues and follow through to resolution.
n
- Good Excel skills, including working with large data sets, formulas, reconciliations and supporting schedules.
n
- Strong organisational skills and the ability to manage deadlines, competing priorities and recurring finance tasks.
n
- Clear communication skills, with the confidence to follow up stakeholders, resolve queries and elevate issues early.
n
- Ability to work independently once trained, while also contributing positively within a small finance team.
n
- A proactive, reliable and process-driven approach, with a willingness to improve processes and maintain accurate records.
