Transport & Logistics Coordinator (Victoria & Interstate Operations)

n

Develop, optimise, and manage daily delivery run sheets for metropolitan, regional Victorian, and interstate deliveries.

n

Plan delivery routes to maximise fleet utilisation, delivery efficiency, and customer service outcomes.

n

Coordinate daily transport requirements with drivers, warehouse personnel, and third-party transport providers.

n

Schedule and manage same-day, next-day, urgent, and interstate freight movements.

n

Monitor transport operations throughout the day and proactively resolve delivery issues, delays, and route changes.

n

Analyse run performance and recommend route improvements and cost-saving initiatives.

n

Ensure all delivery schedules comply with customer requirements and delivery windows.

n

Coordinate vehicle load planning with warehouse staff to maximise transport efficiency.

n

Manage all interstate freight bookings, dispatches, and transport documentation.

n

Liaise with transport companies to secure cost-effective and reliable freight solutions.

n

Coordinate early morning interstate dispatch requirements to ensure service commitments are achieved.

n

Track interstate freight movements and communicate delivery status updates to customers and stakeholders.

n

Resolve freight discrepancies, delays, damages, and carrier issues.

n

Monitor freight costs and identify opportunities for improved transport efficiency.

n

Customer Service & Supply Chain Coordination

n

Provide exceptional customer service for order, transport, delivery, and invoice enquiries.

n

Act as the primary point of contact for delivery schedules, freight requirements, and transport updates.

n

Resolve customer delivery issues and service concerns promptly and professionally.

n

Maintain strong relationships with customers, transport providers, and internal teams.

n

Ensure customer expectations are managed effectively regarding delivery timelines and service levels.

n

Warehouse & Dispatch Coordination

n





Provide warehouse teams with complete pick documentation and delivery schedules for next-day dispatch.

n

Coordinate frozen, chilled, and ambient order requirements with warehouse personnel.

n

Ensure all pick sheets, labels, consignment notes, manifests, and delivery documentation are prepared accurately.

n

Communicate delivery changes, urgent orders, shortages, and special customer requirements.

n

Work closely with warehouse supervisors to ensure timely loading and dispatch of vehicles.

n

Driver & Fleet Coordination

n

Issue daily run sheets, delivery instructions, manifests, and return authorisations to drivers.

n

Coordinate route amendments and customer requests throughout the day.

n

Maintain communication with drivers to ensure successful delivery execution.

n

Monitor driver performance, delivery completion, and proof-of-delivery compliance.

n

Escalate and resolve operational issues affecting delivery performance.

n

Support drivers with delivery troubleshooting and customer service issues.

n

Invoicing & Administration

n

Process daily invoicing aligned with delivery schedules and completed runs.

n

Investigate and resolve missing or incorrect invoices.

n

Process customer returns, credits, and Return Authorisations (RA).

n

Maintain accurate transport, delivery, freight, and customer records.

n

Prepare operational reports relating to freight, deliveries, service levels, and transport performance.

n

Coordinate CHEP, and IBT pallet transfers and maintain accurate pallet control records.

n

Mandatory Experience

n

Minimum 3-5 years' experience in transport logistics, distribution, fleet scheduling, or supply chain operations.

n

Proven experience creating and managing delivery runsheets.

n

Robust knowledge of Victorian metropolitan, regional, and interstate transport networks.

n

Experience coordinating third-party transport providers and freight carriers.

n

Demonstrated ability to manage multiple delivery schedules and competing priorities.

n

Experience working within warehousing and distribution environments.
