About the Role
n
We are seeking an experienced, highly organised and proactive Office Manager – Oceania to join our team on a permanent full-time basis.
n
Reporting directly to the Managing Director – Oceania, this role is responsible for overseeing the day-to-day operations of our Carlton Head Office, ensuring our workplace runs efficiently, professionally and safely. You'll manage office administration, facilities, fleet and parking management, supplier relationships, workplace compliance and employee support while helping foster a positive and team-oriented workplace culture.

Key Responsibilities
n
Oversee the day-to-day administration and smooth operation of the Oceania Head Office
n
Manage reception, meeting rooms, office resources, mail, stationery and office equipment Coordinate office maintenance, repairs, contractors, utilities and building management
n
Manage workplace facilities, office security, access systems and workspace planning
n
Oversee company vehicle fleet administration, servicing, registrations and compliance
n
Manage employee and visitor parking allocations and booking systems
n
Coordinate relationships with external suppliers, service providers and contractors
n
Support employee onboarding and offboarding, workstation setup and travel arrangements
n
Organise office events, recognition programs and employee wellbeing initiatives
n
Monitor workplace health and safety requirements, emergency procedures and compliance obligations
n
Maintain office budgets, records, documentation and administrative systems
n
Coordinate office technology, IT assets and equipment in conjunction with the IT Manager
n
Provide executive and administrative support to the leadership team as required
n
Key Skills
n
Minimum 3 years' experience in an Office Manager, Administration Manager or similar role
n
Experience managing office operations, facilities and administrative systems
n
Demonstrated experience coordinating contractors, suppliers and external service providers
n
Strong organisational and time management skills with the ability to manage multiple priorities
n
Excellent written and verbal communication skills
n
High attention to detail and exceptional problem-solving ability
n
Proficient in Microsoft Office Suite (Word, Excel, Outlook and PowerPoint)
n
Experience using SAP Business One or similar ERP systems (desirable)
n
Experience in facilities management, fleet management or workplace compliance (desirable)
n
Qualifications or training in Business Administration, Facilities Management or Workplace Health & Safety (desirable)
