About Queensland Heart Specialists
Queensland Heart Specialists is a rapidly growing specialist cardiology practice providing comprehensive cardiac consultation, diagnostic, and procedural services across Brisbane. Our team of cardiologists cover the full spectrum of cardiology, including cardiac imaging and non-invasive testing, interventional and structural cardiology, and electrophysiology.
The practice currently operates from The Wesley Hospital and is expanding with a new location at Chapel Hill in Brisbane's western suburbs. We are committed to delivering high-quality, patient-centred care in a professional, compassionate, and supportive environment.
As our practice grows, we are looking for experienced and enthusiastic Medical Secretaries to join our team and help us deliver an exceptional experience for our patients and referring doctors.
About the role
Our Medical Secretaries are central to the smooth running of the practice and are often the first point of contact for our patients. This is a varied role combining patient service, specialist medical administration, and close support of our cardiologists.
Responsibilities will include:
- Managing telephone enquiries professionally and courteously and assisting patients, referrers, and other healthcare professionals
- Coordinating appointments and maintaining accurate and efficient cardiologist diaries
- Optimising appointment scheduling and diary utilisation
- Processing referrals, correspondence,
and patient documentation
- Providing patients with clear information regarding appointments, procedures, services, and fees
- Processing accounts, invoices, and payments and assisting with the management of outstanding accounts
- Coordinating procedural bookings with hospitals, anaesthetic groups, and other healthcare providers
- Maintaining accurate patient records and data within practice management systems
- Maintaining the highest standards of confidentiality, professionalism, and patient service.
Positions will be primarily based at one of our Brisbane locations, although occasional travel between our Wesley and Chapel Hill practices may be required.
About You
- We are looking for people who are organised, personable, and take pride in providing outstanding service. Ideally, you will have:
- Previous experience as a medical receptionist, medical secretary or specialist practice administration role (cardiology or other specialist practice experience highly regarded)
- Excellent communication and interpersonal skills with a professional and compassionate approach to patients
- Sound knowledge of Medicare, private health billing, and medical terminology
- Strong organisational skills and the ability to manage competing priorities in a busy specialist practice
- Initiative and a proactive approach, with the ability to anticipate needs and take ownership of tasks
- Excellent attention to detail and a high level of accuracy
- Confidence using computers, practice management systems, and other medical software
- A strong understanding of patient confidentiality and professional standards
- The ability to work both independently and as part of a collaborative team

Permanent full-time position, Monday to Friday, with no weekend or on-call work. Part-time arrangements may also be considered for the right candidate.
Flexibility around four-day weeks can be considered.
