Job Description

We are seeking an experienced, seasoned Payroll Specialist who thrives on autonomy, operational ownership and variety, to join our head office team and take full end-to-end responsibility for the Payroll and HR administration of our regional Dealerships.
n
In this standalone role, you will be the sole point of contact for two/three payrolls totalling approximately 100 employees (combined). Beyond processing pay runs, you will own the full spectrum of payroll compliance, month-end financial reporting, employee onboarding, contract preparation, and statutory governance for your three business units.
n
This position suits a proactive, detail-oriented professional who takes pride in maintaining pristine records, accurate award interpretation, and seamless employee support.
n
The role is based in Alexandria NSW, and may require some travel every now again for training, guidance & support to our centres in Wagga Wagga & Young NSW.
n
Key Responsibilities
n
1. End-to-End Payroll Processing & Systems Management
n
n
- Lead the complete payroll lifecycle across two/three entities (approximately 100 employees), ensuring accurate and timely processing.
n
- Process regular fortnightly payrolls, with standard and non-standard pay elements, including pro-rata adjustments, overtime, casual loadings, separate commission pay runs, leave accruals, and cost centre allocations.
n
- Calculate and process final payments, which may include detailed terminations and redundancies.
n
- Manage Time & Attendance data, masterfile updates, variable pay, allowances, leave entitlements and system updates.
n
- Strong practical knowledge of uploading aba files onto the banking platform.
n
- Prepare and post accurate payroll journals into accounting system.
n
- Interpret and apply the Motor Trades Association (MTA) Award alongside individual employment agreements.
n
- Proficient in setting up, tracking, and the compliance requirements for specialised payroll deductions, including loan repayments,
Child Support and garnishees.
n
- Perform year-end reconciliations, payment summaries, report-sets and rollover processes.
n
n
2. Onboarding & HR Administration
n
n
- Assist department managers by drafting and placing job advertisements on Seek.
n
- Manage the full employee onboarding journey, from setting up new starters to verifying working rights.
n
- Under the instructions of the managers, draft formal employment contracts, Short-Term Incentive Plan (STIP) appendices, and employee HR correspondence.
n
- With the assistance of the service managers, maintain documentation and prepare administrative paperwork for Visa Sponsorship requirements.
n

3. Compliance, Tax & Month-End Financials
n
n
- Calculate monthly payroll tax, process & pay PAYG withholdings, and manage the electronic payday superannuation compliance.
n
- Maintain comprehensive knowledge of Australian taxation rules (including HECS/HELP, Working Holiday Makers (WHM), and tax thresholds).
n
- Solid understanding of payroll legislative nuances, including qualified earnings, ETP cap application, and Whole-of-Income tax treatments.
n
- Oversee Workers Compensation management, claims documentation, PIAWE payments and annual premium declarations.
n
- Prepare Month-end payroll accruals, and month-end financial reconciliations, & reports.
n
- Complete mandatory government reporting, including ABS surveys and Workplace Gender Equality Agency (WGEA) reporting and eligible Apprentice Scheme Rebates.
n
- Proactively track, process, and claim all wage incentives, reimbursements in relation to the workers compensation scheme & payroll area.
n

4. Employee Engagement & Manager Support
n
n
- People First Approach: Serve as the approachable, trusted face of Payroll and HR—building great rapport across all levels of the business.
n
- Query Resolution: Answer day-to-day employee queries promptly, clearly,
and with a helpful, friendly attitude.
n
- Manager Partnership: Actively collaborate with department managers to research, troubleshoot, and resolve complex or delicate payroll and workforce matters.
n
- Administrative Support: Assist managers with formal meeting invitations, documented correspondence, and sensitive employee relations processes with tact and confidentiality.
n
- Operational Back-up: Act as a reliable point of coverage for other business units, stepping in to support and process other payrolls in the absence of the Payroll Manager.
n

5. Vehicle Administration & Other Duties
n
n
- Manage corporate fuel card ordering, issuance, and compliance auditing for your designated business units.
n
- Provide ad-hoc reporting and comparative data, spreadsheets as required.
n
- Assist in the overflow of the other areas, including filing & archiving .
n
n
Key Requirements
n
n
- Experience: 5+ years of proven experience in a standalone or senior end-to-end payroll position.
n
- Award Knowledge: Direct experience interpreting the MTA Award (or similar complex modern awards) is highly regarded.
n
- Taxation & Legislative Mastery: Strong understanding of Australian payroll legislation, Fair Work standards, superannuation, Workers Comp, PAYG, HECS, and WHM tax rules.
n
- Systems Capability: Proficient in modern cloud payroll software, Time & Attendance systems, and MS Excel (vlookups).
n
- HR & Admin Savvy: Experience preparing contracts, STIP documentation, and handling onboarding workflows.
n
- Autonomy & Ownership: Self-motivated with high attention to detail, strong problem-solving skills, and a 'get it right the first time' mindset.
n
- Flexibility: Willingness to undertake brief travel to regional sites (Young & Wagga Wagga) a couple of times per year.
n
