Practice & Operations Manager | Solara Dermatology, Eastwood

Part-time (0.5 FTE) | $45–50 per hour | Eastwood, Adelaide

Solara Dermatology is a new specialist dermatology and laser practice opening in a beautiful, purpose-built facility in Eastwood. We're looking for an experienced Practice & Operations Manager to take ownership of the practice's operations, finance, HR and compliance - working closely with our Principal Dermatologist to build a growing private practice from the ground up.

This is a rare chance to shape practice systems and culture from day one, with real scope to grow into a senior operational leadership role as Solara expands. Initially you'll play a hands-on role at reception while we build our team, before transitioning into full financial, HR and business management.

Key responsibilities
n
Practice operations: managing efficient clinic workflow, staff rostering and leave management, facility management, co-ordinating with contractors and service providers, maintaining equipment servicing schedules, and continuous improvement of practice systems
n
Financial administration & payroll: processing payroll, timesheets and leave, superannuation, accounts payable/receivable, banking and invoice processing, financial reporting for the Practice Principal, liaison with the practice accountant and bookkeeper, and preparing documentation for BAS, payroll tax and end-of-year reporting
n
Human resources: recruitment support, employment documentation, staff onboarding, performance review coordination, training records and staff wellbeing
n
Patient services & reception: Assuming leadership of the front-of-house experience, including manning phones, appointment scheduling, Medicare and private billing,
EFTPOS reconciliation, co-ordinating patient recalls, waitlist management and patient feedback/complaints. Initially this will be a significant part of the role while the practice is becoming established but will decrease as the practice grows and dedicated reception staff are appointed.

Governance, compliance & technology: auditing of practice policies, WHS, incident reporting and management, maintaining equipment servicing records, insurance renewals, Xestro administration and coordination of IT providers
n
Business development & executive support: marketing coordination, updating practice website, referral network support, maintaining supplier relationships, business reporting, CPD/conference administration, executive support to the Practice Principal, and special projects as required
n
Previous experience managing a medical or specialist practice
n
Significant financial administration and payroll experience
n
Excellent organisational and communication skills
n
High level computer literacy
n
Ability to work independently
n
Exceptional attention to detail
n
Experience in dermatology, plastic surgery or cosmetic medicine
n
Experience with Xestro (or similar practice software such Genie or Gentu)
n
Knowledge of Medicare and private billing
n
Experience with payroll systems
n
HR and recruitment experience
n
Interest in business growth and continuous self-improvement
