Job Description
We are seeking a highly motivated, professional and detail-oriented Executive Assistant to provide high-level administrative and secretarial support to the Principal and contribute to the effective day-to-day operations of the school.

This is a key role within our school community, requiring exceptional organisational skills, sound judgement, discretion and the ability to manage a broad range of responsibilities with accuracy and efficiency.

The Executive Assistant will:
n
n
- Provide confidential administrative and secretarial support to the Principal.
n
- Prepare correspondence, reports and other documentation using a high standard of word processing, formatting and proofreading.
n
- Maintain databases, records and filing systems with a high level of accuracy and attention to detail.
n
- Oversee the timely delivery of documentation to the Principal and monitor follow-up actions as required.
n
- Schedule appointments and maintain the Principal's diary, ensuring effective time management and coordination of commitments.
n
- Prioritise correspondence, manage calendar events and minimise unnecessary interruptions to support the Principal's workflow and productivity.
n
- Coordinate and organise meetings, conferences, career development activities, room bookings, functions and other school events.
n
- Prepare agendas and supporting papers for meetings, take accurate minutes and distribute records and follow-up actions to attendees in a timely manner.
n
- Assist in the planning and coordination of special events and school functions.
n
- Support the development of promotional materials, including marketing and communication strategies.
n
- Coordinate the production of school publications, promotional materials and other communication documents.
n
- Manage travel arrangements for staff, including bookings, itineraries and related administrative requirements.
n
- Use databases and administrative systems to process information and produce reports.
n
- Contribute to a professional, welcoming and efficient administrative environment.
n
- Undertake other duties as reasonably directed by the Principal to support school operations.
n

The successful applicant will demonstrate:

- Proven experience in providing high-level administrative and executive support.
n
- Exceptional organisational skills and the ability to manage competing priorities effectively.
n
- Strong attention to detail and a high level of accuracy in all aspects of work.
n
- Excellent written and verbal communication skills.
n
- Demonstrated ability to maintain confidentiality and exercise discretion and sound judgement.
n
- Strong interpersonal skills and the ability to build positive working relationships with staff, students, families and external stakeholders.
n
- High-level proficiency in word processing, database management and the preparation of professional documents and reports.
n
- Experience in coordinating meetings, events and administrative processes efficiently.
n
- The ability to work independently, show initiative and respond flexibly to changing priorities.
n
- A commitment to supporting the values, culture and strategic direction of the school.

Desirable experience and qualifications:
n
n
- Experience working in a school or education setting.
n
- Familiarity with school administration systems and processes.
n
- Experience in marketing, communications or publication coordination.
n
- Relevant qualifications in business administration or a related field.
n
n
