The Opportunity

- This is a trusted and highly visible role at the centre of the business. Reporting to the Head of Corporate Affairs, you will provide executive support to the Chief Operating Officer while coordinating a portfolio of national events that bring our people, clients and industry partners together.
n
- Balancing executive support with end-to-end event delivery, you will play a critical role in ensuring our leaders are well supported and our events are delivered professionally, efficiently and in line with the Buildcorp brand.
n
- You will be a proactive, organised and detail-driven professional who anticipates needs before they arise, thrives in a fast-paced environment and enjoys bringing people and events together.

Job Description

Key Responsibilities
n
Executive Support
n
n
- Provide end-to-end executive diary management, including meeting coordination, room bookings, catering, briefing packs and technology requirements.
n
- Manage domestic and international travel arrangements, including itineraries, accommodation, transport and related logistics.
n
- Monitor executive inboxes and email correspondence with professionalism, discretion and confidentiality.
n
- Establish and maintain effective processes, meeting rhythms and administrative systems for the Executive Office.
n
- Coordinate recurring leadership and operational meeting cadences.
n
- Manage expense reconciliation, credit cards, invoicing and general administration.
n
- Identify opportunities to improve ways of working and support continuous operational improvement.
n
n
National Events Coordination
n
n
- Coordinate the end-to-end delivery of Buildcorp's national events program across NSW, VIC and QLD.
n
- Manage event logistics, including venue sourcing, supplier coordination, invitations, registrations, RSVPs and attendee communications.
n
- Prepare event run sheets, briefing materials and stakeholder packs.
n
- Coordinate executive involvement and event-day requirements.
n
- Track event budgets, invoices and expenditure.
n
- Partner with internal stakeholders and external suppliers to ensure events are delivered on time, on budget and on brand.
n
- Support delivery of client, industry, leadership, employee and Foundation events across the business.
n

About You
n
You are an experienced Executive Assistant, Team Assistant or Events Coordinator who brings:
n
n
- Proven experience supporting senior executives or business leaders.
n
- Demonstrated experience coordinating corporate events or stakeholder functions.
n
- Exceptional organisational skills and attention to detail.
n
- Strong judgement and discretion when handling sensitive information.
n
- Confidence engaging with senior stakeholders internally and externally.
n
- A proactive mindset and ability to anticipate needs.
n
- Outstanding communication and relationship-building skills.
n
- The ability to manage multiple priorities and competing deadlines.
n
