Job Description
Serves as the first point of contact for client queries via phone, email, or in-person.
n
Assist clients with routine requests, such as account updates, document submissions, and transaction processing.
n
Ensure timely and accurate responses to client queries, escalating complex issues to Client Service Team Leader as needed.
n
Administrative Support:
n
Prepare, review, and maintain client documentation, including account forms, advice correspondence, and meeting notes.
n
Schedule client meetings and maintain calendars for advisers and the client services team.
n
Support the implementation of advice by coordinating documentation and follow-up tasks.
n
Support general office administration, including mail, supply orders, maintaining office presentation standards, and preparing client-facing spaces for meetings and appointments.
n
Compliance and Record Keeping:
n
Maintain accurate and up-to-date client records in Xplan and SharePoint.
n
Follow Keystone Wealth processes and procedures as approved by the Operations Manager.
n
Support process improvements that improve accuracy, consistency, and team efficiency.
n
Participate in training and development activities to maintain knowledge of relevant products, systems, processes, and regulatory requirements
n
Work collaboratively with Advisers, Client Services, Operations, Compliance, and other team members to support productive service delivery and Keystone Wealth's client-focused philosophy.
n
Communicate clearly and professionally with internal stakeholders to ensure tasks are completed accurately and within agreed timeframes.
n
Process and Systems Management:
n
Maintain and optimise systems, platforms, and records to support effective service delivery and operational requirements.
n
Maintain up-to-date knowledge of relevant platforms, products, and systems used in advice delivery.
n
Compliance and Risk Management:
n
Ensure all data updates and administrative activities comply with AFSL requirements, regulatory standards, and internal policies.
n
Maintain accurate documentation and record-keeping in line with internal compliance standards.
n
Identify and escalation data, process, or record-keeping issues that may create operational or compliance risk immediately to the Client Service Team Leader.
n
