Shelford Campus

Opening in 2027 in the heart of Caulfield, Shelford Campus willbe Caulfield Grammar School’s newest Junior School. The campus willinitially offer exceptional education for students in Prep andYears 4–6, before growing into a full Prep to Year 6 Junior School.This represents a once‑in‑a‑career opportunity for a foundingteaching team to shape the culture and community from the groundup, delivering high‑impact learning in an outstandingpurpose‑designed environment.

The Role

This is an exciting opportunity to support the vibrantco-curricular life of our new Shelford Campus and help bring Music,Theatre and Sport programs to life.

Reporting to the Campus Head of Music, whilst also having strongrelationships with the Campus Head of Sport and Performing ArtsTeachers, the Co-curricular Administrator will providecomprehensive administrative support across the Music, Theatre andSport programs, ensuring the smooth coordination of activities,events, communications and operational processes. Working closelywith staff, students, parents and external partners, you will playa key role in creating exceptional co-curricular experiences thatenrich student learning and engagement.

You will be responsible for coordinating calendars, maintainingdatabases, managing bookings, supporting events and productions,administering budgets and ensuring clear communication across thecampus community. The role requires strong organisational skills,attention to detail and a proactive approach to supporting adynamic and growing co-curricular program.

As a founding member of the Shelford Campus team, you will helpestablish efficient systems,



foster strong relationships andcontribute to a culture where students are encouraged toparticipate, perform, compete and thrive through a broad range ofco-curricular opportunities.

This is an ongoing part time, term time position across 5 daysfrom 9am-3pm.

Key Responsibilities:

- Provide administrative support to the Music, Theatre andSport programs across the campus.
- Coordinate and communicate co-curricular events, activitiesand schedules through shared calendars and communicationplatforms.
- Support the administration of departmental budgets,invoices and financial processes.
- Work collaboratively with the Office Manager and DailyOrganiser to support campus operations.
- Act as a key point of contact for students, parents, staffand external providers regarding co-curricular programs.
- Coordinate room bookings, scheduling and resourceallocation to support Music, Theatre and Sport activities.
- Support the administration of music examinations,instrumental programs and associated enrolments.
- Prepare and distribute communications, documentation andevent information for productions, performances andco-curricular activities.
- Support ticketing, administration and logistics for campusproductions and events.
- Maintain accurate databases, records and reporting systemsrelating to student participation and program delivery.
- Manage online content, timetables and program informationto ensure stakeholders have access to current and accurateinformation.
- Foster positive relationships with students, families,staff and external partners while delivering exceptionalcustomer service.
- Contribute to continuous improvement initiatives thatenhance campus operations and co-curricular experiences.
- Uphold the School's commitment to Child Safety, ensuringthe wellbeing, safety and dignity of all students at alltimes.

Skills and Qualifications:





- Employment Working with Children Check.
- Demonstrated administrative experience, ideally within aneducation setting.
- Experience supporting Music, Performing Arts, Sport orother co-curricular programs will be highly regarded.
- Strong organisational, planning and time managementskills.
- Excellent written and verbal communication skills with theability to engage effectively with a range ofstakeholders.
- Strong customer service and relationship managementcapability.
- Demonstrated attention to detail and ability to managemultiple priorities simultaneously.
- Proficiency in Microsoft Office Suite.
- Experience with student or administrative managementsystems such as Synergetic, Sentral or Music Monitor is highlydesirable.
- Commitment to professional growth, continuous improvementand alignment with school priorities.
