Job Description
Board Liaison Manager – Colonial First State
n
Location: Sydney CBD, NSW, AU (hybrid working). Reports to: Head of the Office of the Superannuation Trustee (CRO Office).
n
Responsibilities
n
n
- Manage Board and Board Committee processes, including preparation and distribution of papers, agendas, minutes, standing items, matters arising, circular resolutions, and related tasks.
n
- Respond to requests for statutory records and corporate information.
n
- Coordinate training and maintain up‐to‐date Standard Operating Procedures.
n
- Assist the Company Secretary with risk and compliance obligations.
n
- File and safeguard company registers and statutory records for CFS Group entities.
n
- Maintain and manage the Diligent relationship and portals.
n
- Create and maintain internal records (office holders list, structure charts, Document Execution Register, etc.) and working documents (checklists, trackers, etc.).
n
- Manage Boards' Director Contact List.
n
- Arrange, manage, and communicate logistics (e.g., calendar invites) for Board and Committee meetings where applicable.
n
- Update relevant pages on the Company Secretariat intranet.
n
- Act as central liaison for Director communications and interactions.
n
- Assist with other projects, including Company Secretariat risk and compliance activities and processes for various Boards.
n
- Respond to and collate documents for regulatory lodgments and related queries.
n
- Monitor and manage the Team shared mailbox.
n
- Assist with team administration matters.
n
- Provide calendar and secretarial support to the Head of the OST & Group Company Secretary.
n

Qualifications & Competencies
n
n
- Solid experience as an Executive Board Assistant or similar Business Manager/Senior Executive Assistant role.
n
- Strong written and verbal communication skills.
n
- Governance or legal qualifications (preferred).
n
- Advanced Microsoft Office skills (Word, PowerPoint, Teams, OneNote, Excel).
n
- Advanced experience with Diligent Boards.
n
- Highly organized with excellent time‐management skills.
n
- Strong customer service/relationship management skills.
n
- Experience with DocuSign.
n
- Very strong attention to detail and strict adherence to confidentiality.
n
- Ability to work autonomously and use initiative to drive success.
n
