About the Role
The Administration Assistant – Accreditation Services provides essential administrative and operational support to the Accreditation Services Operations Team. This role contributes to the effective delivery of accreditation activities through document management, data entry, correspondence management, stakeholder support, meeting coordination, and records administration.
This is an excellent opportunity for an organised and detail-oriented administrator looking to build their career in accreditation, regulatory administration, or healthcare education services.
Key Responsibilities
- Coordinate and maintain accreditation documentation, records, and information management systems.
- Accurately manage data across organisational systems,
including SharePoint and NetSuite.
- Monitor and manage team inboxes, responding to routine enquiries and escalating matters where required.
- Prepare correspondence and communicate professionally with education providers, assessors, and other stakeholders.
- Support meetings and committees by scheduling meetings, preparing agendas, coordinating logistics, taking minutes, and tracking actions.
- Coordinate travel, accommodation, and administrative requirements for accreditation activities.
- Assist with reporting, data collection, workflow tracking, and administrative support activities.
- Support team projects, training workshops, and continuous improvement initiatives.
- Maintain compliance with organisational policies, procedures, and information management requirements.
What We're Looking For
Essential
- Demonstrated experience in an administrative support role, preferably within a professional services, health, or education environment.
- Strong organisational skills with the ability to manage competing priorities and meet deadlines.
- Experience preparing documents, managing records, and maintaining accurate filing systems.
- Excellent attention to detail and data entry skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, Teams, and SharePoint.
- Ability to work collaboratively within a team and provide excellent stakeholder support.
Desirable
- Certificate IV in Business Administration, Public Administration, or a related field.
- Experience using NetSuite or similar document management and CRM systems.
- Experience working in accreditation, regulatory, quality assurance, education, or healthcare environments.
- Experience providing secretariat or committee support.
