Dental Receptionist (Pathway to Front Office Coordinator / Practice Manager)

We are looking for an exceptional Dental Receptionist to join our growing dental group in Phillip and Dickson ACT — someone who brings more than front-desk capability. This is a career-track role designed for a motivated individual who thrives in a fast-paced clinical setting and has the ambition and aptitude to grow into a Front Office Coordinator / Practice Manager position.

You will be the first point of contact for our patients while playing a key operational role behind the scenes — supporting scheduling efficiency, team coordination, clinic performance, and demonstrating a working understanding of dental clinical workflows to bridge the gap between our front desk and clinical teams.

Key Responsibilities

Front Desk & Patient Experience

Greet and check in patients with warmth and professionalism

Manage appointment scheduling, cancellations, and recall systems

Handle patient queries in person, by phone, and via email

Process payments, private health fund claims, and Medicare/DVA billing

Maintain accurate patient records in practice management software (e.g. Corepractice or similar)

Clinical Workflow Coordination

Understand chair-side clinical sequences for common procedures (e.g. examinations, fillings, extractions, crown and bridge, implants, orthodontics) to schedule and manage appointment time accurately

Liaise effectively with dentists and dental assistants using correct clinical terminology

Anticipate chair turnover times and procedure requirements to optimise daily appointment flow

Support clinical compliance by ensuring patient records, consent forms,



and medical histories are complete prior to appointments

Coordinate specialist referrals, treatment planning documentation, and follow-up appointments

Understand sterilisation and infection control protocols to support WHS and accreditation compliance

Assist in the coordination of clinical stock, materials ordering, and equipment servicing schedules

Operational & Administrative

Monitor and manage daily appointment flow to optimise chair utilisation

Manage stock orders, supplier invoices, and office supplies

Prepare daily reconciliation reports and end-of-day banking

Assist in onboarding new staff and maintaining HR documentation

Leadership & Clinic Support

Act as a point of escalation for patient complaints and sensitive situations

Support the Practice Manager in performance reporting and KPI tracking

Identify workflow inefficiencies and suggest process improvements

Assist in training junior reception and coordination staff

Step up in the Practice Manager's absence to maintain clinic operations

What We’re Looking For

Minimum 1-year prior experience in a dental receptionist or dental administration role

Working knowledge of chair-side clinical procedures and dental terminology

Exceptional communication and interpersonal skills





Strong organisational and problem-solving skills

A track record of leading teams and building positive workplace cultures

The ability to juggle competing priorities without dropping the ball

A proactive, solutions-focused mindset

A real commitment to both patient care and team success

References Required

Highly Regarded

Certificate III or IV in Business Administration, Dental Assisting, or Healthcare Administration

Experience with Core Practice, Teams

Prior experience as a dental assistant or chair-side coordinator

Exposure to rostering, payroll, or staff coordination

Understanding of infection control compliance and requirements

Hours

Full time | Monday – Saturday availability

This role is part of our Front Office Coordinator / Practice Manager Development Program. High-performing coordinators are supported with:

Support from senior practice manager and principal dentists

Internal training in clinic operations, clinical workflow management, HR basics, and financial reporting

Hands‑on exposure to chair‑side coordination to deepen clinical knowledge

A 12–24 month pathway to FOC / Practice Manager consideration
