About the role

The Senior Administration Officer plays a key role in coordinating and managing clinical placements for Health Sciences students, ensuring compliance with accreditation standards and maintaining accurate placement systems. Working closely with academic staff and external stakeholders, the role supports the smooth delivery of placements and drives ongoing improvements to enhance the student experience and operational efficiency.

Key Responsibilities





- Provide high-level administrative support to the Clinical Education Office, including coordinating meetings, preparing documentation, managing communications, maintaining records, and ensuring compliance with university policies and procedures.
- Support clinical placement and student outcome activities through report preparation, data management, statistical analysis, maintenance of databases, and day-to-day office administration.
- Coordinate and manage Health Sciences student clinical placements, ensuring alignment with curriculum requirements, accreditation standards, and relevant policies and regulations.
- Liaise with healthcare providers, industry partners, students, academic staff, and other university stakeholders to maintain placement partnerships and deliver responsive customer service.
- Maintain and monitor placement tracking systems, provide guidance on placement processes, and support timetabling, scheduling, events, orientations, and training activities.
- Contribute to policy and procedure reviews, support procurement and finance processes, and identify opportunities for process improvement and program development to enhance operational effectiveness.

Qualifications, skills & experience

- Relevant qualification including a Degree, or Advanced Diploma with 1+ year of relevant experience, or Diploma with 2+ years of administrative experience, or Certificate IV with extensive administration or clinical setting experience, or an equivalent combination of education, training and/or experience.
- Demonstrated administrative experience with strong organisational skills and proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint and Teams),



with the ability to learn and use internal databases and systems (e.g. SONIA, CELCAT, timetabling, video-conferencing).
- Highly developed written and verbal communication skills, with the ability to build effective relationships and engage with a diverse range of stakeholders.
- Proven ability to prioritise competing tasks, manage multiple deadlines and deliver high-quality work with accuracy and attention to detail in a fast‑paced environment.
- Strong ability to work both independently and collaboratively within multifunctional teams, demonstrating initiative and professional judgement.
- Well‑developed problem‑solving skills and a responsive, customer‑focused approach to supporting students, staff and external stakeholders.
