About the role The Administration Coordinator will support the Chief Executive Officer and manage day-to-day office processes, data monitoring and reporting, and financial administration for the service.

Coordinator will lead the service's brokerage administration, data collection, monitoring, reporting and financial administration.
The Administration
Coordinator will be responsible for the financial administration of the Brokerage Fund under the direction of the Chief Executive Officer, ensuring compliance with Launchpad Brokerage Policies and Procedures and the State-wide Brokerage Guidelines.
This is a maternity leave contract commencing 12 October 2026 - 18 June 2027 with the possibility of extending depending on organisational needs.
Key responsibilities
- Maintain and develop administration processes and systems in consultation with the Chief Executive Officer
- Perform administrative duties as directed by the Chief Executive Officer, including reception duties, service correspondence, incoming calls, mail, filing, minute taking, ordering office supplies, and maintenance of equipment, supplies and premises
- Assist with staff induction processes and establishment of correspondence materials
- Ensure office presentation, service information and publicity materials meet required standards and are available for customers
- Manage email enquiries and monitor and update Facebook, Instagram and website material where required and as directed by the Chief Executive Officer
- Lead coordination of client brokerage data entry and reporting processes under the Client Information Management System (CIMS), and support the Chief Executive Officer with data gathering for funding reports, evaluation and other reporting mechanisms
- Manage and update client Brokerage data as directed by case workers or the Chief Executive Officer
- Lead financial administration duties, including recording income and expenses, invoicing and accounts receivable, petty cash, payroll administration, HR and finance records, and working effectively with external accounting partners to maintain up-to-date expense reports
- Oversee financial administration of the Brokerage Fund in line with relevant policies and procedures
- Manage the petty cash system for ICSYHS and Launchpad
About you
- Demonstrated experience delivering quality customer service to internal and external customers
- Excellent communication skills, including written and verbal presentation skills, with the ability to liaise effectively and diplomatically and build positive interpersonal relationships
- Ability to work independently and as part of a team, with a willingness and ability to contribute to the overall performance and continuous improvement of administrative support services
- Ability to prepare detailed reports and collect statistics for program evaluation
- Demonstrated planning, organisational and excellent time management skills
- Ability to organise meetings and committees, coordinate and distribute papers and agendas, take minutes, and establish and maintain files
- Superior IT skills,
including Microsoft Office, Excel, PowerPoint and Access
- Experience in SHIP/SHORE/CIMS data management and recording, or a willingness to learn
- Current NSW Driver Licence

About us
Launchpad Youth Community Inc. is a Specialist Homelessness Service that has been supporting young people who are homeless or at risk of homelessness in the inner west of Sydney for over 20 years. Launchpad aims to provide a wide range of services and opportunities to enhance young people's capacity so they can participate, engage and belong in the community. We support people with complex needs through wrap-around integrated casework and coordination of support with other aligned and relevant agencies.
Through a strengths-based and trauma-informed approach, Launchpad works with young people in a client-centred way, enhancing their capacity to be at the centre of decision-making and supporting them as they move through different pathways out of homelessness or risk of homelessness.
