About the role
As the Administration Officer within the Binaal Billa Family Violence Prevention Legal Service (Binaal Billa) auspice, you will report directly to the Business Development Manager and Principal Solicitor and be responsible for completing reception duties, providing administrative and operational support to legal and non-legal staff, and ensuring the smooth operation of the organisation. This role will be the first point of contact for clients, visitors and stakeholders, and will assist with the Aboriginal community legal-service-related administration including client records, legal file management, confidential correspondence, appointments, referrals, document preparation, data entry and support for the multidisciplinary Binaal Billa team.
Key Accountabilities
· Answer and manage phone calls by directing calls to the appropriate person and responding to enquiries in a professional, culturally safe and confidential manner.
· Greet clients, visitors and stakeholders when they come into the office and ensure they are referred to the appropriate legal, case support worker or other team member.
· Maintain incoming and outgoing mail, call and correspondence registers, including confidential legal correspondence.
· Provide administrative support to the Binaal Billa multidisciplinary team, including solicitors, case support workers and management as required.
· Assist with opening, maintaining, closing, archiving and retrieving client and legal files in accordance with organisational procedures.
· Prepare, format, scan, photocopy, file and distribute legal and administrative documents, correspondence and forms as directed.
· Maintain accurate client information, appointments, referrals and service records in relevant databases and file management systems.
· Support the coordination of client appointments, referrals and follow-up tasks involving both legal staff and case support workers.
· Assist with diary management, appointment scheduling, meeting preparation and coordination of legal-service-related activities.
· Liaise professionally with clients, courts, government agencies, service providers and external stakeholders as required.
· Undertake general administrative duties including filing, recording, stationery and stock replenishment, meeting organisation and other office support tasks.
· Assistance with WH&S; responsibilities including maintaining registers and vehicle checks
Qualifications & Experience
· Minimum Certificate III in Business, Business Administration, Legal Services or related field, or willingness to obtain.
· Previous experience within an administrative role and knowledge of administrative practices and procedures.
· Previous experience within a legal service, community legal service, legal practice, government agency or professional services environment is desirable.
· Understanding of legal administration, legal terminology, file management, client intake processes or a willingness to learn.
· Experience using electronic record keeping systems, client databases or legal practice management systems is desirable.
· Knowledge and understanding of the issues relating to family/domestic violence and/or sexual assault and how it may affect victims’ lives.
Essential Requirements
· Confirmation of Aboriginality (Preferred, but not essential).
· Ability to maintain confidentiality and to exercise tact, initiative and sound judgement.
· Ability to handle sensitive and confidential client information in accordance with privacy, records management and legal-service obligations.
· Demonstrated ability to maintain accurate records, manage competing priorities and meet deadlines in a legal-service setting.
· Ability to communicate respectfully and professionally with clients, legal practitioners, courts, community organisations and government agencies.
· Maintain a high level of professionalism.
· Identify strongly with Aboriginal cultural values and belief systems and have appropriate appreciation of those values and understand the cultural aspects of the trauma associated with each family compliment.
· Ability to hold a National Police Check and Working with Children Check Clearance.
· Ability to build and maintain strong relationships with internal and external stakeholders.
· Demonstrated experience and ability to work effectively as part of a multidisciplinary team.
· Well-developed written and verbal interpersonal communication and organisational skills with great attention to detail.
· Willingness to learn and undertake further appropriate training as required.
· Analysis and problem solving skills.
· Current valid Driver’s Licence.
What Yoorana Gunya can offer you
· Hours 9am – 3pm Monday to Friday (maybe flexible for right candidate)
· Salary Packaging options are available as a Not-For-Profit Organisation
· Remuneration Hourly rate between $30 - $40 dependent on experience, plus the relevant Superannuation.
· Leave: Additional annual leave entitlements above NES.
