Position Overview: We are seeking an experienced and highly organised Aged care Coordinator to join our growing team. This role is responsible for supporting the day-to-day operations of our aged care services, ensuring efficient coordination of care, maintaining accurate client records, and providing exceptional customer service to clients, families, and staff.

The successful candidate will work closely with management, care staff, clients, and external stakeholders to ensure smooth service delivery while maintaining compliance with aged care standards and organisational policies.

Key Responsibilities

Administration & Office Support

Manage day-to-day administrative activities of the office.

Answer incoming phone calls, emails, and general enquiries professionally.

Maintain accurate filing systems, both electronic and paper-based.

Prepare letters, reports, meeting minutes, and other documentation.

Manage office supplies and inventory.

Support management with general administrative duties and special projects.

Client Administration

Create and maintain accurate client records within the organisation's CRM system.

Process current client referrals, admissions, and documentation.

Ensure all client information is kept confidential and up to date.

Coordinate appointments, assessments, and service bookings.

Maintain regular communication with clients, families, and healthcare professionals.

Staff Administration

Assist with staff onboarding and maintaining employee records.

Monitor staff compliance documents, including expiry dates of mandatory certifications.

Support recruitment administration and document management.

Maintain accurate staff files and compliance records.

Scheduling & Coordination

Assist with scheduling client services and coordinating care staff where required.

Liaise with care staff regarding schedule changes and client requirements.

Support efficient allocation of services to meet client needs.

Compliance & Documentation





Ensure documentation complies with Aged Care Quality Standards and organisational policies.

Maintain accurate records and documentation.

Assist with audits, compliance reporting, and quality improvement activities.

Support accreditation and regulatory requirements.

Customer Service

Provide professional and compassionate service to clients and their families.

Respond promptly to enquiries and resolve administrative issues.

Build positive relationships with clients, staff, and external stakeholders.

Quality Improvement

Assist in maintaining quality systems and continuous improvement initiatives.

Identify opportunities to improve administrative processes and service delivery.

Participate in staff meetings and ongoing training.

General Duties

Support company events, meetings, and promotional activities when required.

Assist other departments as needed.

Perform additional administrative duties as directed by management.

Qualifications & Requirements:

Essential

Minimum 2+ years of experience in an administrative role within the Aged Care, Community Services, Disability, Healthcare, or Allied Health sector.

Knowledge of the Australian Aged Care system and Aged Care Quality Standards.

Excellent organizational and time management skills.

Strong communication and interpersonal skills.

High level of computer literacy, including Microsoft Office Suite.





Experience using client management or CRM systems.

Ability to work independently and collaboratively within a team.

Robust attention to detail and ability to manage multiple priorities.

Professional, compassionate, and client-focused approach.

Excellent problem-solving and organisational abilities.

Desirable

Experience with scheduling or rostering and document handling.

Experience working in a community or home care environment.

The successful applicant must hold or be willing to obtain before commencing employment:

NDIS Worker Screening Check

Working With Children Check (WWCC)

National Police Check

Current First Aid Certificate (HLTAID011 or equivalent)

Current CPR Certificate (HLTAID009 or equivalent)
