Australian Environmental Landscapes (AEL) is a Queensland-based environmental landscaping and rehabilitation business delivering projects across South East Queensland.
We are seeking an experienced and highly organised Bookkeeper & Administration Officer to join our team.
This is a hands-on role combining bookkeeping, financial administration and general office support. We are looking for someone who can take genuine ownership of our day-to-day financial processes — not simply process transactions.
Working closely with the Directors, Project Managers and our external accountant, you will be responsible for maintaining accurate financial records, completing reconciliations, managing our Xero environment and Xero Projects, assisting with BAS and IAS obligations, and producing meaningful financial and project reports for management.
For the right person, this is an opportunity to become a trusted part of the management support team and have real ownership of the financial administration function.
Bookkeeping & Financial Administration
- Maintain accurate financial records within Xero
- Complete bank, credit card, balance sheet and general ledger reconciliations
- Manage accounts payable and accounts receivable
- Process and reconcile supplier and subcontractor accounts
- Prepare and issue client invoices and debtor statements
- Monitor outstanding debtors and assist with account enquiries
- Maintain accurate allocation of labour, materials, subcontractors and other project costs
- Assist with payroll administration, timesheets and leave records
- Complete month-end bookkeeping processes
- Prepare financial information and reports for management
- Prepare and assist with lodgement of BAS and IAS
- Maintain accurate records to support our external accountant and year-end reporting
Xero Projects & Project Reporting A key part of this role will be taking ownership of the effective use of Xero Projects across the business.
Responsibilities will include
- Establishing and maintaining projects and project cost codes
- Ensuring labour, materials, subcontractors and expenses are correctly allocated to projects
- Reviewing project transactions for accuracy and completeness
- Reconciling project financial information against Xero
- Producing project cost and financial reports for Directors and Project Managers
- Identifying missing, incorrect or unusual transactions and following these through to resolution
- Working with management to continually improve the quality of project financial reporting
Administration & Office Support
- Coordinate employee onboarding documentation
- Maintain employee records, licences and competency information
- Assist with PPE and uniform administration
- Maintain organised electronic and physical filing systems
- Coordinate office supplies and general office administration
- Answer phones, greet visitors and assist with deliveries
- Assist with meetings, minutes and action items when required
- Provide administrative support to the Directors and operational team
- Maintain confidential company, employee and financial information
About you
We are looking for someone who is confident taking responsibility for the bookkeeping function and who takes pride in producing accurate, reliable information.
You will ideally have
- Certificate IV in Accounting and Bookkeeping or equivalent qualification
- Demonstrated bookkeeping experience in a small-to-medium business
- Strong practical Xero experience
- Experience completing bank and general ledger reconciliations
- Experience preparing BAS and IAS
- Experience with accounts payable,
accounts receivable and payroll administration
- Experience with month-end processes and management reporting
- Strong Excel and Microsoft Office skills
- Excellent attention to detail and organisational skills
- The ability to investigate discrepancies rather than simply process transactions
- The confidence to follow up managers and staff when information is missing
- Robust written and verbal communication skills
- The ability to manage competing priorities and work independently
- Professionalism and discretion when dealing with confidential financial and employee information
Experience with Xero Projects, project/job costing or the construction, landscaping or civil industries will be highly regarded.
