Medical Administrator / Patient Care Coordinator

Herstellen Clinic is an established and privately-owned specialist Plastic and Reconstructive Surgery and Medical Aesthetic Clinic based in Spring Hill, Brisbane. We are seeking a polished and proactive Medical Administrator / Patient Care Coordinator to join our team. This is a key support role, assisting our care coordinators, nurses and surgeons to deliver seamless patient experiences.

This position is suited to someone who genuinely cares for and enjoys helping people, thrives in a busy environment and has the ability to juggle multiple tasks, all while maintaining the highest level of professionalism and 5 star customer service.

We are seeking an individual with 2+ years experience in a similar role to join our team on a Part-time basis of 30 hours per week. Hours worked will be between standard 8:30am - 4:30pm/ 5:00pm. Work days will be Monday - Thursday with occasional saturdays required.

Our growing team consists of our Director and industry leading Plastic and Reconstructive Surgeon, Dr Justin Perron, Visiting Specialist Dr Scott Turner, Clinic Manager, Patient Care Coordinator, 4 Practice Nurses, 2 Dermal Therapist's, 2 Medical Concierge, Marketing Coordinator, 2 Cosmetic Injector's, Lymphoedema Practitioners & Massage Therapists! Our clinic is in the process of bringing on an additional Specialist Plastic surgeon come October.

Working collaboratively with our entire team and especially closely with our Patient Care Coordinator and Medical Concierge, this staff member will be responsible for an array of tasks:

Key Responsibilities

- First and foremost, providing an exceptional and professional experience for all patients and visitors to the clinic and all communication channels including via telephone.
- General Administrative Tasks: Coordinate patient appointments,



including sending SMS reminders, confirming attendance, billing and managing follow-ups. Patient journey and Front-of-House Management.
- Monitor incoming emails with the Administration team.
- Patient Surgical Estimates and assistance.
- Patient Surgical Bookings & Management.

What are we looking for?

The ideal candidate to join our team will have:

- 2+ years of previous medical administration experience: Pay rate will reflect experience.
- Strong computer literacy and the ability to quickly learn new software packages.

- A resilient work ethic, demonstrating initiative and adaptability within a fast-paced environment.
- Solid communication and interpersonal skills, displaying a professional, warm, compassionate, friendly and respectful manner towards patients, practice staff and medical professionals.

- A desire to build a career within the Plastic and Reconstructive surgery industry and Medical Aesthetic field
- Australian citizenship is required for this position.
