Western Process Controls is a leading supplier of pressure management, valve and actuation solutions to Australia's industrial sectors including Oil & Gas, Mining, Water, Power, Chemical, Petrochemical and Refining industries.
As our business continues to grow, we are seeking a highly organised and detail-oriented Business Support Administrator to join our team at our Canning Vale Head Office.
This is a diverse and fast-paced role that sits at the heart of our operations. You'll play a critical part in supporting customers, suppliers and internal teams while managing administration processes that ensure our business runs efficiently.
Working closely with an experienced Business Support Manager and a supportive team, this role offers the opportunity to develop a broad range of skills across administration, purchasing, inventory management and customer support.
About the role
As our Business Support Administrator, you will play a key role in ensuring the smooth day-to-day operation of the business. This diverse position combines administration, customer service, order processing, inventory coordination, and reception duties. You will be responsible for managing sales and purchase orders, invoicing, shipping documentation, and inventory records while providing exceptional support to customers, suppliers, and internal stakeholders.

Key responsibilities
- Carry out key administrative job management functions including sales order validation, supplier purchase order processing, sales order creation, and certificate creation
- Process shipment documentation, sales invoicing, and filing and scanning of job-related documents
- Manage inventory and stock updates including website inventory, and provide stock reporting
- Manage timecard administration
- Maintain effective communication with customers, suppliers, and internal departments on order confirmations, expediting, delays, and issue resolution
- Provide exceptional customer service and ensure compliance to specifications and relevant standards
- Perform switchboard duties including answering telephone calls in a prompt and courteous manner
- Perform reception duties including greeting and assisting the public with front desk enquiries
- Ensure all visitors are signed in and security passes distributed and collected upon exit
- Manage stationery, office and kitchen consumables, banking, petty cash, mailing and courier activities, customer training bookings, catering, certificates, records, and travel booking management
About you
- Previous experience in administration, purchasing, customer service or sales support
- Exceptional attention to detail and a high level of accuracy
- Strong organisational and time management skills
- The ability to manage multiple tasks and changing priorities
- A adaptable and adaptable approach to work
- Excellent written and verbal communication skills
- Strong customer service focus and professional manner
- Intermediate to advanced computer skills
- The ability to work independently while contributing positively to a team environment
- A proactive approach with a willingness to learn and take ownership
- Applicants must have unrestricted working rights in Australia or hold a visa that permits ongoing full-time employment with WPC for the foreseeable future
