Medical Receptionist/Administration (Casual)
Adamstown Specialists is seeking a dedicated and organised Medical Receptionist/Administration professional to join our team on a casual basis. This is an excellent opportunity to work in a fast-paced medical environment where you will be the first point of contact for our patients and play a vital role in ensuring the smooth operation of our practice. Based in Adamstown, NSW 2289, this casual position offers flexibility whilst allowing you to make a meaningful contribution to patient care and administrative excellence. As a Medical Receptionist/Administration professional, you will be responsible for managing patient interactions, maintaining accurate records, and supporting the clinical and administrative functions of our specialist practice.
Key responsibilities
- Greeting patients and visitors in a warm, professional and welcoming manner upon arrival at the practice
- Scheduling and confirming patient appointments using practice management software Genie & Halaxy
- Processing patient registration and intake forms, ensuring all information is accurate and complete
- Answering and directing telephone enquiries and responding to patient requests promptly and courteously
- Managing patient files and maintaining confidentiality in accordance with privacy legislation and practice policies
- Processing payments and managing billing records, including reconciling accounts and handling patient invoices
- Assisting with reception duties including correspondence, electronic filing, and general clerical tasks
- Liaising with medical staff to ensure patients are seen on schedule and any urgent matters are prioritised
- Maintaining a clean, organised and professional reception environment
- Supporting the practice with administrative tasks as required by management
What we're looking for
- Previous experience working as a medical receptionist or in a healthcare administrative role, preferably in a specialist practice or similar medical environment
- Strong organisational skills with the ability to manage multiple tasks and priorities efficiently
- Excellent interpersonal and communication skills, with the ability to interact professionally with patients, visitors and staff at all levels
- Proficiency with practice management software Genie & Halaxy preferred and Microsoft Office applications
- Knowledge of medical terminology and understanding of healthcare practices and procedures
- Attention to detail and accuracy when handling patient information and administrative records
- Ability to maintain patient confidentiality and adhere to privacy legislation, including understanding of Australian Privacy Principles
- A professional demeanour and reliable attitude with flexibility to work in a casual capacity
- Customer service focus with a genuine commitment to supporting patient wellbeing
- Preferred: Certificate III or higher qualification in Medical Administration or similar healthcare qualification
