About the Role

We are seeking a Client Hospitality & Office Administrator to join our Head Office team in Barangaroo.

This is an important and trusted position combining client hospitality, Head Office administration and Barangaroo office coordination.

The role is approximately

- 50% Head Office administration and operational support; and
- 50% Barangaroo office administration and client hospitality.

As one of the first points of contact for clients, visitors and other stakeholders attending our Barangaroo office, you will play an key role in representing KHI Partners and ensuring every interaction reflects the professionalism and service standards of our firm. At the same time, you will be an integral member of the Head Office team, providing responsive administrative and operational support across a range of Group and Partner requirements.

This role requires someone who is polished, professional, warm and highly organised, with the maturity and judgement to operate confidently around senior Partners, clients and confidential matters.

You will be expected to take ownership of your responsibilities, anticipate what needs to be done and maintain high standards without requiring constant direction.

Key Responsibilities

Client Hospitality & Office Presentation

- Greet and warmly welcome clients, visitors and guests in a professional and courteous manner.
- Deliver a consistently high standard of client hospitality and ensure visitors are appropriately attended to throughout their time in the office.
- Coordinate visitor requirements and assist with building and office access arrangements where required.
- Prepare boardrooms and meeting rooms ahead of client, Partner and internal meetings.
- Ensure boardrooms, meeting rooms and shared areas are reset promptly following meetings.
- Maintain a consistently professional presentation across meeting rooms, kitchen facilities and shared office areas.
- Monitor hospitality supplies and ensure facilities and appliances remain organised, stocked, presentable and ready for use.
- Assist with catering, hospitality and preparation for internal and external meetings, training sessions and events.
- Maintain awareness of upcoming meetings and visitor requirements and proactively prepare for them..

Head Office Administration & Operational Support





- Provide day-to-day administrative and operational support to the Head Office team and KHI Partners.
- Assist with documents, reports, spreadsheets, correspondence and administrative records.
- Manage incoming and outgoing mail, scanning, filing, photocopying and other administrative requirements.
- Assist with coordination of meetings, appointments and internal requirements as directed.
- Respond to Head Office requests promptly and provide updates where matters require additional time to complete.
- Handle confidential and sensitive information with appropriate discretion.
- Assist with Group-wide administrative projects and Head Office initiatives as required.
- Maintain accurate records and appropriate documentation.
- Support other reasonable administrative and operational requirements as directed by Head Office.

Barangaroo Office Coordination

- Support the smooth day-to-day administration and operation of the Barangaroo office.
- Coordinate office supplies, kitchen and hospitality stock and maintain appropriate inventory levels.
- Liaise professionally with building management, concierge, cleaners, suppliers and other service providers as required.
- Identify office maintenance, presentation or operational issues and ensure they are addressed or appropriately escalated.
- Assist with visitor and access coordination.
- Monitor shared office facilities and proactively address issues affecting presentation or functionality.
- Support office events, Partner meetings, training sessions and other activities held at Barangaroo.
- Help maintain a skilled, organised and welcoming environment for Partners, employees, clients and visitors.

Telephone & Communication

- Answer, screen and direct incoming telephone calls in a warm and professional manner.
- Communicate confidently and appropriately with clients, Partners, colleagues, suppliers and external stakeholders.
- Ensure messages and requests are accurately recorded and directed to the appropriate person.
- Maintain professional communication standards across telephone, email and face-to-face interactions.

Skills & Experience Ideally, you will have:

- 2–3 years’ previous experience in corporate reception, client services, professional services, office administration, executive support or a comparable client-facing environment.
- Strong administrative and organisational skills.
- A demonstrated ability to provide a high standard of client service.
- Excellent professional telephone and interpersonal skills.
- Strong attention to detail and follow-through.
- Confidence working with senior stakeholders.
- Proficiency in Microsoft Outlook, Word and Excel, with experience using Teams and SharePoint advantageous.
- The ability to work independently while also contributing effectively as part of a collaborative Head Office team.

Experience within accounting, legal, financial services, consulting or another professional services environment would be highly regarded. Why Join KHI Partners?
